About The Position

The Patient Service Representative I is responsible for various administrative and patient-facing duties within the Administration Department. This role involves managing patient check-in and check-out processes, handling telephone communications, scheduling appointments, and maintaining patient records. The position requires strong character qualities such as attentiveness, enthusiasm, joyfulness, patience, and punctuality. The Patient Service Representative I will support Variety Care's mission as a Patient Centered Medical Home and contribute to achieving the goals of the "Triple Aim" of healthcare reform. This role demands integrity, adaptability, sound judgment, and the ability to be a leader in problem-solving and accountability.

Requirements

  • High School Diploma or GED.
  • Possesses legible handwriting and basic mathematic skills.
  • Possesses ability to work with the public.
  • Possesses ability to enter simple data entry and has basic keyboarding knowledge.
  • Able to communicate with patients and staff.
  • Trustworthy handling confidential information.
  • Able to work in an active and stressful environment.
  • Able to work with difficult patients from time to time.
  • Able to lift a minimum of 25 pounds.
  • Able to sit for long periods of time.

Nice To Haves

  • One or more years of clerical experience.
  • One or more years of customer service experience.
  • Bilingual- English/Spanish

Responsibilities

  • Answers telephones and schedules appointments.
  • Obtains patient information, prepares charts for examination, and collects and secures payments at patient check-out.
  • Provides back-up and overflow coverage for Front Office Telephone Operator(s).
  • Receives patients at the reception window.
  • Obtains required information/documentation from patients at check-in.
  • Obtains and updates financial and family information, including address, phone, insurance coverage, and DOB.
  • Updates information and makes changes in the electronic medical records.
  • Schedules appointments in the electronic medical records.
  • Posts charges and payments at the time of check-out.
  • Verifies late or open balances and reminds patients of outstanding balances.
  • Assists patients with balance owed questions via billing assistance.
  • Accepts payments and assures daily collections are secured.
  • Balances daily transactions.
  • Ensures the waiting area is kept in good order.
  • Follows HIPAA guidelines and Variety Care Privacy policy and procedure.
  • Ensures office equipment is in good working order and notifies appropriate staff of any problems.
  • Accepts direction from the Practice Administrator or Physician on staff.
  • Supports Variety Care’s accreditation as a Patient Centered Medical Home and commitment to provide Safe, Effective, Patient Centered, Timely, Efficient, and Equitable care.
  • Provides leadership and works with staff to achieve the goals of the "Triple Aim" of healthcare reform.
  • Embodies strength of personal character, integrity, adaptability, and sound judgment.
  • Performs other duties as assigned.
