Performs office support as directed by Supervisor and/or physician within the Department of Perioperative Medicine. Duties may include answering and appropriately triaging phone calls, returning calls on behalf of physician, scheduling patient appointments, maintaining physician clinical and administrative schedules, coordinating patient services as needed, and other administrative duties as directed by the physician, supervisor or department leadership.

Requirements

  • YEARS OF EXPERIENCE REQUIRED 3-4 years in Healthcare setting
  • EDUCATION REQUIRED Associates

Nice To Haves

  • YEARS OF EXPERIENCE PREFERRED Healthcare setting
  • Proficiency in automated office productivity tools (e.g. word processing software).
  • Proficiency with EMR - Epic highly desirable.
  • Experience in health care setting.
  • EDUCATION PREFERRED Bachelors

Responsibilities

  • Prioritizes tasks and manages workload efficiently to meet patient needs, and departmental goals such as call answer rates.
  • Takes initiative to resolve issues and assist colleagues.
  • Adapts to workflow changes and supports team productivity.
  • Fulfills a coverage role when coordinators within the pod are out of the office .
  • Demonstrates accountability in job duties, and proactively assists in training support staff/covering staff as needed
  • Answers phones and greets patients courteously, clearly, and efficiently.
  • Demonstrates professional demeanor, empathy, discretion, and respect in all patient interactions.
  • Ensure timely internal/external communication via phone, email, or in-person regarding appointments, instructions, and follow-ups.
  • Handles patient concerns calmly, and appropriately escalates concerns to administrative manager or clinical staff when necessary
  • Schedules appointments and ancillary services accurately, following the provider’s protocol as directed by the physician.
  • Coordinates referral processes with accuracy and urgency.
  • Communicates effectively/proactively with other administrative staff and clinical teams to ensure smooth patient flow.
  • Assists with contracts
  • Assists in the negotiation of physician managed care contracts, analytics, and financial modeling.
  • Coordinates enrollment
  • Coordinates physician enrollment in managed care plans.
  • Ensures compliance
  • Ensures compliance of managed care companies with negotiated contracts.
  • Resolves payor issues
  • Followsup and resolving payment issues with Insurance Payors.
  • Acts as liaison
  • Acts as a liaison between physician offices and Insurance Payors.
  • Assists with meetings
  • Schedules, coordinates, and documents for all PHO related meetings.
  • Maintains tracking logs
  • Creates and maintains tracking logs for Insurance Payor issues and accountability for closing out items.
  • Oversees PHO line
  • Oversees PHO phone line, answers and responds to inquires, and assist with urgent physician office issues.
