About The Position

The Patient Service Clerk plays a crucial role in scheduling patient appointments, registering patients, preparing charts, maintaining patient lists, verifying billing slips, managing inventory, and performing other clerical tasks within the Medical Day Unit. This position is temporary part-time, expected to last until November 2026.

  • Experience working in a clinical environment live on Epic Ambulatory (Preferred)
  • Experience in patient registration using Cadence (Epic) (Preferred)
  • Experience in creating, editing, scanning and scheduling referrals (Preferred)
  • Experience in managing order workqueues (Preferred)
  • Experience in patient check outs including follow ups and recall management (Preferred)
  • Experience using inbasket communication in Epic (Preferred)

Responsibilities

  • Create new patient profiles in EPIC.
  • Register patients in Cadence (Epic Hyperspace) according to registration standards.
  • Input electronic referrals in Epic Referral Management and update them according to triage.
  • Scan referrals into Epic with appropriate naming conventions.
  • Schedule new patients from workqueues based on priority and wait times.
  • Schedule return patients from recall lists and follow-up workqueues according to required follow-up dates.
  • Schedule interpreters for families as needed.
  • Schedule clinic orders and manage order workqueues.
  • Greet patients and parents during clinic check-ins and verify demographic information.
  • Interpret MOH Eligibility and update patient records accordingly.
  • Collect self-pay payments and complete Fee For Service forms.
  • Collect fees as required.
  • Complete clinic check-outs and schedule follow-up appointments or place patients on recall lists/workqueues.
  • Monitor all workqueues and recall lists within the primary area of work to ensure quality and report outliers and waitlist changes to the supervisor.
  • Implement visit cancellations and rebookings in consultation with clinical staff.
  • Receive incoming telephone calls and respond to patient inquiries.
  • Contact clinic physicians, nurses, and allied health team members as appropriate to manage inquiries.
  • Communicate with the clinical team through Inbasket.
  • Handle telephone communication and messaging within CHEO established policies/procedures.
  • Perform telephone pre-visit screening for infection control.
  • Utilize Epic to notify clinicians of patient arrival.
  • Confirm appointments and follow up using the automated system.
  • Direct patients/families to designated locations within the hospital.
  • Request patient files from medical records as appropriate.
  • Ensure progress notes and sheets are available and stamped with the correct date, where required.
  • Pick up patient charts from medical records daily, where required.
  • Ensure all charts are available and request missing ones.
  • Maintain an inventory of stock.
  • Maintain filing, ensuring orders with notes are filed.
  • Locate old charts as appropriate.
  • Maintain and order clinic supplies.
  • Facilitate clerical duties related to equipment repairs, including filling special forms and transporting equipment.
  • Retrieve labels for specimens.
  • Orient volunteers and clerical staff to clinics and Epic.
  • Perform work in accordance with the Occupational Health and Safety Act and Regulations, and all CHEO corporate/departmental policies and procedures.
  • Perform work in accordance with CHEO privacy and confidentiality policies.
  • Perform work in accordance with Epic training and documented standards.
  • Attend staff meetings when scheduling allows and review circulated minutes.
  • Perform other related duties as assigned by the supervisor.
