About The Position

The Patient Scheduling Agent ensures the efficient operations of the Intake Department. This role involves answering incoming calls, scheduling patient appointments, addressing scheduling and insurance questions, handling patient concerns or complaints, verifying patient insurance, and making follow-up calls to patients. The position requires strong communication, customer service, and organizational skills, along with a basic understanding of Ophthalmology and proficiency in Microsoft Windows applications and EMR systems.

Requirements

  • High School diploma or equivalent
  • Intermediate software competency in Microsoft Office
  • Ability to learn new programs quickly
  • Typing rate of 45 wpm with minimal errors
  • Strong written and oral communication skills
  • Ability to exhibit sound judgment when making decisions concerning patients and staff
  • Ability to manage multiple job assignments under varying degrees of pressure (usually from deadlines)
  • Proven ability to work well in a team situation or any other role assigned
  • Highly focused on patient care and customer service
  • Exceptional interpersonal skills
  • Ability to treat peers, superiors, subordinates, patients, and all others with courtesy, professionalism, and respect

Responsibilities

  • Prioritize receiving incoming calls from patients, providers, and ancillary staff from other care facilities.
  • Promptly answer, prioritize, and manage a large volume of calls daily, both inbound and outbound.
  • Be aware and responsive of incoming calls, minimizing the risk of dropped or missed calls, while maximizing patient care.
  • Accurately schedule appointments according to scheduling protocols.
  • Direct calls and/or emails to the appropriate departments when voicemails are received.
  • Obtain and enter demographic information into the EMR system accurately.
  • Make calls back to patients.
