About The Position

This Patient Scheduler 3 position is located in the Vascular Lab at the University of Miami Hospital UTower and is an onsite, full-time role, typically working 40 hours, Monday through Friday during the day, though the schedule may vary. The primary responsibility is to oversee the scheduling workflow for all departmental patient schedulers. Key duties include providing daily pending orders and scheduling reports to the manager, generating weekly first available reports, and triaging diagnostic technologist worklist schedules daily to ensure accuracy. The role also involves monitoring phone volumes and agent quality assurance using an EGAIN web-based system, performing quality checks on calls, and providing individual reports to assigned agents weekly. The Patient Scheduler 3 assists the supervisor with introducing and implementing new scheduling techniques, conducting performance improvement meetings, maintaining proper staffing levels, and providing leadership, education, and orientation to new scheduling staff. This individual is expected to act as a role model, support managerial decisions, and assist with employee performance evaluations. The role also involves ensuring staff adherence to departmental guidelines, providing STAT overbook slots for radiology modalities, and editing database and software templates when leadership is unavailable. Requirements

  • High School diploma or equivalent
  • Minimum 3 years of relevant experience
  • Skill in completing assignments accurately and with attention to detail.
  • Ability to lead, motivate, develop and train others.
  • Ability to recognize, analyze, and solve a variety of problems.
  • Ability to communicate effectively in both oral and written form.
  • Ability to work independently and/or in a collaborative environment.

Responsibilities

  • Oversees scheduling workflow of all departmental patient schedulers.
  • Provides daily pending orders and scheduling reports to manager.
  • Provides first available reports on a weekly basis or as needed to manager.
  • Triages diagnostic technologist worklist schedule on a daily basis to ensure there are no discrepancies on the schedule.
  • Works with EGAIN web-based system to constantly monitor phone volumes and agents for daily quality assurance.
  • Performs quality assurance checks on calls and provide individual reports for each assigned agent on a weekly basis.
  • Assists supervisor with the introduction and implementation of new techniques and procedures for scheduling, ensuring all staff are competent.
  • Assists supervisor in conducting performance improvement meetings concerning scheduling workflows.
  • Assists supervisor in maintaining proper scheduling staffing levels.
  • Provides leadership, education, and orientation to all new scheduling staff.
  • Acts as a role model for all patient schedulers and supports all managerial decisions by promoting a team effort and open lines of communications.
  • Assists the supervisor with employee performance evaluations on a weekly and yearly basis.
  • Ensures staff utilizes departmental guidelines for consistency.
  • Provides STAT overbook slots for all radiology modalities to all patient schedulers.
  • Edits database and software templates as needed when leadership is unavailable.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.
