About The Position

Provides front office clerical services as a receptionist and records clerk. The Patient Representative is responsible for maintaining current patient information in both computer and physical charts, checking patients out, collecting fees, entering encounters, and scheduling return appointments. This role also involves maintaining patient confidentiality according to HIPAA policy, completing absence slips, managing money exchanges accurately, recording and forwarding messages, and interacting professionally with patients, vendors, and business representatives. The position requires utilizing telephone systems effectively, calling patients for appointment reminders, scanning reports and results into patient charts, and managing office equipment such as the answering machine, money box, postage meter, and copier. Additionally, the Patient Representative must keep the office area neat and organized, maintain office supply cabinets, prepare outgoing mail, manage conflict respectfully, and foster good working relationships with co-workers. Adherence to the CHS compliance program is mandatory, including using and maintaining knowledge of EHR systems, entering charges and diagnoses daily, and posting patient payments into EHR daily. Employees may be required to perform other duties as assigned.

Requirements

  • High school diploma or general education degree (GED).
  • One to three years of related experience and/or training or equivalent combination of education and experience.
  • Knowledge of and experience working with computers is a must.
  • Ability to read and comprehend simple instruction, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving a few concrete variables in standardized situations.
  • Good verbal communication skills.
  • Ability to follow written and verbal directions.
  • Maintain effective working relationships with CHS staff.
  • Proficient in basic computer programs, electronic health records and practice management programs.
  • Specific vision abilities required: close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
  • Treat all patients with respect and understanding regardless of their ability to pay and regardless of their national origin.
  • Background security investigation will be required.
  • Documentation for Department of Homeland Security (DHS) Form I-9 will be verified through DHS.
  • All employees are required to have bi-weekly payments made by direct deposit.
  • All qualification requirements must be met.
  • 90-day probationary period will be required.
  • Drug Screening is required.

Responsibilities

  • Maintain current information in computer and in chart on each patient seen.

  • Write up deposit and deliver to designee daily.
  • Utilize telephone systems/features for effective operations.
  • Call patients to remind them of their appointments per policy.
  • Scan all reports and results in patient charts per protocol established.
  • Care for Answering Machine, Money Box, Postage Meter, and Xerox Copier.
  • Keep office area neat and organized.
  • Maintain organization of office supply cabinets.
  • Prepare outgoing mail.
  • Conduct self in professional manner and manage conflict quickly and in a direct and respectful manner.
  • Maintain good working relationship with co-workers.
  • Adhere to all parts of CHS compliance program’s mandates, timelines, and activities.
  • Use EHR and maintain knowledge of any changes or upgrades with the lessons on the support site.
  • Enter charges and diagnosis into EHR daily.
  • Post patient payments into EHR daily.
  • Perform other duties as assigned or when necessary.
