About The Position

Provides front office clerical services as a receptionist and records clerk. The Patient Representative is delegated the authority, responsibility, and accountability to carry out assigned duties. The position may require performing other related duties as long as those duties are compatible with the abilities of the individual assigned to this position in accordance with the Americans with Disabilities Act.

Requirements

  • High school diploma or general education degree (GED).
  • One to three year’s related experience and/or training or equivalent combination of education and experience.
  • Knowledge of and experience working with computers a must.
  • Ability to read and comprehend simple instruction, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving a few concrete variables in standardized situations.
  • Good verbal communication skills and ability to follow written and verbal directions.
  • Maintain effective working relationships with CHS staff.
  • Proficient in basic computer programs, electronic health records and practice management programs.
  • Treat all patients with respect and understanding regardless of their ability to pay and regardless of their national origin.
  • Background security investigation will be required.
  • Documentation for DHS Form I-9 will be verified through the DHS.
  • Bi-weekly payments made by direct deposit to a financial institution of their choosing.
  • All qualification requirements must be met.
  • 90-day probationary period will be required.
  • Drug Screening is required.

Responsibilities

  • Maintain current information in computer and in chart on each patient seen.
  • Check patients out, collect patient’s fees, enter encounter, and make return appointment per protocols established.
  • Maintain patient confidentiality per HIPPA policy.
  • Complete work and school absence slips as needed per policy.
  • Maintain accurate money exchanges at all times.
  • Record messages in accurate manner on appropriate forms and forward to recipient in a timely manner.
  • Interact with patients, vendors, and business representatives one on one and via telephone in a professional and courteous manner at all times.
  • Write up deposit and deliver to designee daily.
  • Utilize telephone systems/features for effective operations.
  • Call patients to remind them of their appointments per policy.
  • Scan all reports and results in patient charts per protocol established.
  • Caretaker of the Answering Machine, Money Box, Postage Meter, and Xerox Copier.
  • Keep office area neat and organized.
  • Maintain organization of office supply cabinets.
  • Prepare outgoing mail.
  • Conduct self in professional manner and manage conflict quickly and in a direct and respectful manner.
  • Maintain good working relationship with co-workers.
  • Adhere to all parts of CHS compliance program’s mandates, timelines, and activities.
  • Use EHR and maintain knowledge of any changes or upgrades with the lessons on the support site.
  • Enter charges and diagnosis into EHR daily.
  • Post patient payments into EHR daily.
