About The Position

This position is to primarily support and assist patients with checking in and checking out, including registration, and completion of coding and charging. The Patient Registration Specialist will greet patients, provide assistance for quick and efficient processing, and ensure accurate appointment and insurance information is obtained and relayed. They will also obtain data for correct billing procedures, process new patient registrations, collect fees and co-pays, prepare insurance and disability forms, and maintain eligibility information in the computer system. Additionally, this role assists walk-ins and urgent care patients, makes new patient medical charts, answers phones, schedules transportation, and maintains a clean and professional front office area while adhering to HIPAA rules and regulations.

Requirements

  • Minimum high school diploma or equivalent.
  • Ability to communicate in English.
  • Skilled in use of computer/EMR systems.
  • Knowledge of Word processing software, spreadsheet software, Internet, and database software.
  • Knowledge of medical terminology with high attention to detail and a propensity for completeness.
  • Experience with customer service, scheduling appointments, data entry, and medical insurance.

Nice To Haves

  • Medical Office certificate or Graduate of an accredited Medical Assistant, or closely related program, preferred.
  • Ability to communicate in Spanish strongly preferred.
  • Minimum of one (1) years’ experience in healthcare highly preferred.

Responsibilities

  • Greets patients and provides assistance to patients for them to be processed quickly and efficiently.
  • Ensures that accurate appointment and insurance information is obtained and relayed to the patient.
  • Obtains data on each patient to ensure correct billing procedures.
  • Process registration of all new patients to include but not limited to, obtaining all necessary data, verification of insurance coverage as needed, and creation of the patient charts by coding.
  • Collects appropriate fees and co-pays at the time of registration. Issues receipts for all monies taken.
  • Prepares all patient insurance, disability, and claim forms.
  • Follows appropriate cash control procedures.
  • Balances all Patient Registration Services close outs and prepares daily bank deposits. May be expected to make bank deposits.
  • Balances cash bag at the end of the day.
  • Maintains eligibility information in the computer system.
  • Assists walk-ins and urgent care patients in obtaining appointments.
  • Makes and distributes new patient medical charts.
  • Assists patients with routine questions.
  • Answers incoming phone calls.
  • Schedules transportations.
  • Maintains a clean and professional front office area.
  • Maintains strict confidentiality following all HIPAA rules and regulations.
  • Assumes responsibility for maintaining clinical competencies according to Gonzaba Medical Group policy.
  • Ensures customer service is always maintained at the highest level.
  • Exercise tact and courtesy when dealing with patients, visitors, providers, and co-workers.
  • Must always adhere to customer service expectations including in-person and virtual (via telephone, or telehealth applications) communication.
  • Participates in educational programs as needed.
  • Other duties as assigned.
