The Patient Registrar is responsible for engaging in positive interactions, providing helpful assistance, and managing patient registration processes. This role involves anticipating and responding to the needs of patients, visitors, and customers, while maintaining composure under pressure. The Patient Registrar participates in team building, continuous quality improvement, and educational activities. They provide shadowing and training to new team members and use good judgment in emotional and demanding situations. Key duties include registering patients for ER and Urgent Care, signing in hospital outpatient visits, identifying patients needing immediate care, prioritizing registration by complaint severity, and monitoring the waiting area for changes in patient conditions. They also admit surgical and direct admit patients, schedule and check in hospital outpatient lab patients, and ensure correct electronic medical record selection to prevent errors. The role involves entering patient complaints/symptoms, completing required arrival information, generating armbands, face sheets, and labels, and verifying information quickly during chaotic situations. Gathering demographic, guarantor, and billing information, obtaining necessary signatures, verifying insurance, and identifying out-of-network or uninsured patients are also core responsibilities. The Patient Registrar collects co-pays and payments, assists with patient unit coordination, provides accurate information, and assists other departments and EMS/EMT agencies. They perform pre-admission and pre-registration functions, provide admission information, secure patient valuables, and assist hospital staff during system downtime or disaster modes. They also provide transportation vouchers, manage a cash drawer, balance it at the end of each shift, and manage work queues to resolve registration errors. Assessing interpreter needs, handling telephone inquiries, monitoring security cameras, and addressing questions or concerns promptly are also part of the role. The Patient Registrar must remain flexible, reliable, and manage their schedule efficiently, presenting a professional demeanor. They complete travel screening questionnaires, track visitors, provide directions, and demonstrate teamwork. Communication with the leadership team, charge nurse, physicians, and partners is essential, as is notifying leadership of unusual occurrences. They follow healthcare regulations, perform light cleaning, and complete assigned educational courses. Alternate shifts, weekends, and overtime may be required.
