About The Position

The Patient Coordinator / Medical Assistant serves as a key member of the practice team by supporting both clinical and administrative front desk operations. This role is responsible for delivering exceptional patient service, coordinating patient flow, assisting providers with clinical duties, and ensuring efficient day-to-day office operations in a fast-paced medical practice. The ideal candidate is organized, professional, compassionate, and able to multitask while maintaining a high level of patient care and customer service.

Requirements

  • Minimum education of a High School Diploma (or GED)
  • Minimum of 1 year of medical office and customer service experience
  • Working knowledge of Microsoft, data entry and other business office systems is preferred.
  • Must consistently demonstrate superior customer service, interpersonal and communication skills to interact effectively with physicians, staff, visitors, patients and family members.
  • Must be highly organized with exceptional attention to details.
  • Must be able to travel to multiple office locations if requested.

Responsibilities

  • Opens the office at the designated time each day and ensures the readiness of the reception area, and that the front desk activities are fully operational.
  • Greets and identifies patients and visitors, obtains additional patient information as needed, and communicates unexpected delays.
  • Checks in patients, collects copays, receives payments, and reconciles daily deposits.
  • Maintains a neat and organized front office and waiting room.
  • Schedules patient appointments efficiently.
  • Manages and scans patient paperwork into the EMR and communicates via EMR and email.
  • Provides daily confirmation of upcoming patient appointments.
  • Prepares medical records requests.
  • Makes copies, faxes documents, and shreds documents as needed.
  • Monitors and orders inventory of office supplies and front desk operational items.
  • Checks out patients, schedules follow-up appointments and/or testing.
  • Verifies patient insurance eligibility and obtains referrals.
  • Escorts patients from waiting room to examination rooms and provides examination apparel.
  • Manages and tracks patient flow through the office.
  • Documents patient information accurately in the EMR, including vital signs, current medications, allergies, PCP, and pharmacy.
  • Triage phone calls, messages, and prescription refill requests.
  • Performs clinical tasks such as dressing changes, wound care, and suture/staple removal.
  • Records and updates information in patient records for compliance.
  • Performs efficient and clean turnover of exam rooms and equipment.
  • Performs clerical work associated with patient care and prepares patient charts.
  • Monitors and orders inventory of exam room supplies.
  • Maintains office safety adhering to OSHA guidelines and patient confidentiality in compliance with HIPAA regulations.
  • Performs other related duties as assigned by a Manager or other authorized TVE executive.
