About The Position

The Phone Consult Coordinator plays a crucial role in an oral surgery practice by managing all incoming and outgoing phone consultations. This role involves coordinating communication between patients and the surgical team, scheduling consultations, and ensuring a seamless patient experience from initial contact to treatment planning.

Requirements

  • High school diploma or equivalency, required.
  • Minimum of 1-2 years of experience in a medical office, preferably in a dental or oral surgery setting.
  • Familiarity with healthcare insurance policies, procedures, and regulations.
  • Knowledge of relevant regulations and compliance requirements in healthcare.
  • Approachable, professional demeanor
  • Strong communication and interpersonal skills.
  • Detail-oriented and thorough in task execution.
  • Excellent organizational and multitasking abilities.
  • Proficiency in using electronic health records (EHR) and scheduling software.
  • Knowledge of medical terminology and healthcare practices.

  • Empathetic and patient-focused approach to care coordination.
  • Independent decision-making skills and utilization of sound judgement.

  • Additional coursework or certification in medical administration is a plus.

Responsibilities

  • Answer incoming calls and respond to patient inquiries regarding oral surgery services, procedures, and policies.
  • Provide clear and accurate information to patients about consultation processes, preparation, and follow-up.
  • Schedule and coordinate initial consultations between patients and oral surgeons.
  • Manage and optimize the surgeon’s calendar to ensure timely and efficient scheduling of consultations and procedures.
  • Record detailed notes from patient interactions and consultations in the practice’s electronic health record (EHR) system.
  • Follow up with patients’ post-consultation to answer additional questions and assist with next steps, including scheduling surgical appointments.
  • Educate patients on the importance of pre-consultation preparations and required documentation.
  • Provide information about financial aspects, including insurance coverage and payment options.
  • Work closely with the surgical team, including oral surgeons and surgical assistants, to ensure that all patient needs are met.
  • Collaborate with the administrative team to maintain an organized workflow and address any issues that arise.
  • Work closely with referring dentists, billing departments, and insurance companies.
  • Coordinate with other departments to streamline insurance processes and improve efficiency.
  • Participate in team meetings and contribute to process improvement initiatives.
