About The Position

The Patient Care Specialist II coordinates front office operations, scheduling, patient communication, registration, and documentation activities that support efficient clinic operations and exceptional patient experiences. This role serves as a key point of contact for patients while ensuring accurate scheduling, insurance verification, documentation management, and communication between patients, providers, and care teams.

Requirements

  • High school diploma or equivalent.
  • Minimum 1-2 years of healthcare front office experience required.
  • Experience with patient registration, insurance verification, appointment scheduling, and patient check-in/check-out.
  • Experience collecting patient copays and understanding basic insurance processes.
  • Proficiency with EMR systems, scheduling software, phone systems, and standard office applications.
  • Strong customer service, communication, and organizational skills.
  • Ability to manage multiple priorities in a busy healthcare environment.
  • Recent experience working in the front office of a healthcare clinic or medical practice, performing duties such as: Patient check-in and check-out, Insurance verification, Collecting copays and patient balances, Appointment scheduling, Referral management, Medical records and document scanning, Answering multi-line phones, EMR documentation and patient registration.

Nice To Haves

  • Experience in Primary Care, Family Practice, Internal Medicine, or Urgent Care.
  • Knowledge of medical terminology, referrals, and prior authorizations.
  • Experience working in high-volume outpatient clinics.
  • Familiarity with insurance plans, eligibility verification, and patient financial responsibility discussions.
  • Experience in the following settings is strongly preferred: Primary Care, Family Practice, Internal Medicine, Urgent Care, Multi-specialty Medical Clinics.

Responsibilities

  • Greet patients and provide an exceptional customer service experience.
  • Check patients in and out for appointments.
  • Verify insurance eligibility, benefits, demographics, and referral requirements.
  • Collect copays, balances, and other patient payments.
  • Schedule, reschedule, and confirm patient appointments.
  • Answer incoming calls and respond to patient inquiries professionally and efficiently.
  • Scan and upload patient documentation into electronic medical records.
  • Manage patient registration and maintain accurate patient records.
  • Route clinical messages, refill requests, referrals, forms, and patient concerns to the appropriate care teams.
  • Identify and resolve scheduling issues, missing documentation, and registration discrepancies.
  • Maintain accurate records within EMR, scheduling, and communication systems.
  • Support daily front office operations and collaborate closely with clinical staff.
