About The Position

Concord Orthopaedics is seeking a dedicated and detail-oriented Patient Care Coordinator to join our team. This role plays a vital part in ensuring a high standard of service for our patients, providers, and internal teams. The ideal candidate will be responsible for managing physician schedules, booking patient appointments, responding to patient inquiries, and supporting communication among all members of the care team.

Requirements

  • High school diploma or equivalent required
  • Proficiency in medical terminology or experience in a medical office setting
  • Prior experience working with the public
  • Ability to remain calm and professional in fast-paced or stressful environments
  • Friendly, approachable demeanor with professional appearance
  • Strong communication skills, both verbal and written
  • Excellent phone etiquette and computer proficiency

Nice To Haves

  • Medical Assistant certification preferred

Responsibilities

  • Answer all incoming calls promptly (within 3 rings) and courteously.
  • Ensure callers are asked before being placed on hold, with updates provided every 20 seconds.
  • Maintain availability to answer a minimum of 95% of ACD calls per shift (96.5% desired; 98% is the stretch goal).
  • Schedule appointments accurately and efficiently, following practice and physician-specific guidelines.
  • Gather and secure all necessary patient information in accordance with protocols.
  • Review accounts for prior balances, co-pays, or collections, and communicate financial responsibilities clearly.
  • Respond to patient inquiries regarding medical records, prescription refills, authorizations, and paperwork in line with department and provider guidelines.
  • Process various scheduling and follow-up reports (e.g., cancellations, no-shows, referrals) as directed.
  • Sort and distribute incoming mail to physicians and assist with follow-up actions as needed.
  • Address time-sensitive requests from patients, hospitals, referral sources, and insurers within two business days.
  • Support physicians to maximize clinic efficiency and workflow.
  • Perform pre-visit planning and request relevant medical records and imaging.
  • Submit prescription prior authorization requests according to insurance requirements.
  • Perform other administrative duties as assigned by the department Supervisor or Manager.
