About The Position

The Ohio State University College of Dentistry seeks a full-time Patient Care Coordinator for the Advanced Prosthodontic Program. The college’s Advanced Prosthodontic Program trains graduate students in attaining excellence in clinical prosthodontics, prepare for careers in private practice, teaching and/or research, and become eligible for examination by the American Board of Prosthodontics. The clinical component of the program includes all phases of prosthodontics: fixed prosthodontics; implant prosthodontics; complete denture prosthodontics; maxillofacial prosthetics; and removable partial prosthodontics.

Requirements

  • Graduated with a bachelor's degree from a dental hygiene program accredited by the Commission on Dental Accreditation (CODA) or a related field
  • Maintain an active dental hygiene license

  • Ability to work closely and cooperatively with faculty, staff, residents and patients to assist in the multidisciplinary operation and management of prosthodontic and dental implant patient care.
  • Computer skills and background in specific computer applications such as electronic health records IHIS, Microsoft Office Suite and computer competency including e-mail.

Responsibilities

  • Exercise primary responsibility for coordinating and overseeing patient appointments across a multidisciplinary treatment team—including Prosthodontics, Oral and Maxillofacial Surgery, Orthodontics, and Periodontology—ensuring appropriate sequencing of care, provider alignment, and timely progression of complex treatment plans.
  • Proactively verify readiness of all required clinical materials and preparatory components (e.g., impressions, diagnostic casts, surgical guides, prosthetic components) in advance of scheduled appointments, mitigating risk of procedural delays, cancellations, and inefficiencies.
  • Lead and manage continuity-of-care processes when patients transition between residents, ensuring seamless handoffs, preservation of treatment intent, and uninterrupted patient care within an academic clinical environment.
  • Strategically manage and optimize resident schedules to balance patient access, educational requirements, and clinic capacity, supporting efficient resource utilization and sustained clinic throughput.
  • Serve as a primary escalation point and patient-facing liaison, addressing inquiries, concerns, grievances, and complaints with professionalism, diplomacy, and empathy via telephone, email, and in-person communication, supporting patient satisfaction and retention.
  • Act as an operational connector among patients, residents, attending faculty, and clinic staff, synthesizing information, resolving issues, and coordinating follow-up actions to ensure timely and effective outcomes.
  • Prepare, submit, and track Patient Account Adjustment Request (PAAR) forms, supporting accurate financial resolution, compliance with institutional processes, and transparent communication regarding patient accounts.
  • Prepare and maintain program-specific reports as requested.
  • Prepare, submit, and track facilities, maintenance, and IT services requests for equipment, software, or system issues to ensure minimal disruption to clinic operations and patient care.
  • Perform additional duties as assigned to support clinic efficiency, associated programs, and evolving programmatic needs, demonstrating adaptability and responsiveness to evolving clinical, operational, and institutional needs.
  • Comply with all organizational policies and procedures, including infection prevention and control standards, safety protocols, and the proper use of required personal protective equipment (PPE). Adherence to applicable local, state, and federal regulations (including OSHA and public health requirements) is an essential function of this role.
