Patient Care Coordinator

Impact Physical Therapy and Sports MedicinePhoenix, AZ

About The Position

We're looking for a true people person to join our team, and to eventually help lead the front office at our brand new Biltmore location. Our patients come in often and they should feel like family every time they walk in. If you're warm, friendly, and genuinely love connecting with people, we'd love to meet you. Be part of something from day one. You'll train alongside our experienced team, then help launch and become the face of our newest clinic. Patients you actually get to know. You'll see the same patients regularly, building real relationships over time. Cash-pay, concierge-style care. Patients invest in their health and expect a personal experience. You set that tone. Real ownership of your role. You schedule, problem-solve, build relationships, and keep the clinic humming. A team that has your back. No drama, no clock-watching. We celebrate wins together and pitch in when it's busy. A growing company. Impact is opening new locations across the Valley, and this role is a direct part of that growth.

Requirements

  • A genuine people person who is warm, friendly, and easy to talk to.
  • Someone with real life and work experience who can walk into a brand new location and represent our brand with confidence.
  • Comfortable with sales conversations and able to communicate the value of care, not just the price.
  • Detail-oriented and organized so nothing falls through the cracks.
  • A natural multitasker who knows how to prioritize when things get busy.
  • Strong, clear communicator in person, on the phone, and in writing.
  • Self-directed and comfortable operating with more independence, since this role grows into running a front office with less day-to-day oversight.
  • Flexible with hours and open to either opening or closing shifts (not just mornings or just afternoons)
  • Stable work history and someone who tends to stay and grow with a team.

Nice To Haves

  • Prior sales, cash-pay, or concierge healthcare experience strongly preferred.
  • Customer service experience preferred; medical or doctor's office experience is a plus.

Responsibilities

  • Train at our Paradise Valley and North Scottsdale clinics to learn our systems, culture, and patient experience before helping launch Biltmore.
  • Build genuine relationships with patients you'll see regularly so they feel known and welcomed every visit.
  • Greet patients warmly at check-in and create a calm, welcoming front-of-house experience.
  • Answer phones, return calls, schedule appointments, and keep our PTs fully booked.
  • Confidently explain our cash-pay model and pricing to new patients, turning inquiries into booked evaluations.
  • Help current patients understand the value of continued care.
  • Introduce Impact to people who stop by, since our Biltmore location sits in a high foot traffic shopping complex where first impressions matter.
  • Process payments and keep accurate records in our EMR and Google Suite.
  • Juggle phones, in-person patients, and back-office tasks without dropping the ball.
  • Open or close the clinic depending on the day's schedule.
  • Keep the front and lobby clean, organized, and inviting.
  • Occasionally lift up to 20 lbs
