About The Position

This role goes beyond that of a traditional office assistant. The Patient Care Administrator is responsible for standard administrative functions such as scheduling, billing, patient communication, and EMR organization. As this is a growing practice, the administrator must also be constantly thinking of ways to improve operations in support of exceptional care delivery. The individual will consistently deliver concierge level services for patients and doctor teams, get to know patients, properly organize and prioritize projects, and stay two steps ahead of any issues.

Requirements

  • 1 year of experience required, healthcare experience preferred
  • Advanced computer literacy, primarily with Apple computers, and tech-savvy comfortableness working in a paperless environment (EHR enabled)
  • Proven track records of providing extraordinary customer service
  • Excellent critical thinking and communication skills
  • Autonomous, responsible, and proactive – exceptional professional, poise and sophistication are a must, equivalent to being a C-level executive assistant or reception at a luxury hotel
  • Enthusiastic and passion for our mission
  • Tenacity to follow through and close the loop on both quick and long-tail responsibilities
  • Excellent verbal and written communication skills
  • Exceptional ability to multi-task and properly self-prioritize, with efficiency and high productivity
  • Adept with technology applications and services

Nice To Haves

  • Bachelor's Degree preferred, preferably in a science or medically-related field

Responsibilities

  • Provide concierge services for patients, comprised of helping with prescriptions, patient interface with other offices and hospitals, appointments, follow-ups, tracking appointments, facilitating patient needs, and developing a sincere relationship
  • Respectful, responsive email and phone communication with both prospective and current patients
  • Warmly greet and help patients with check in/out
  • Schedule appointments for physician with corresponding reminders
  • Coordinate and track outside consults, tests, and imaging studies for patients
  • Obtain prior authorizations for prescriptions and diagnostic companies
  • Upload labs and other outside documentation into Electronic Medical Record (EMR)
  • Answer and triage phone calls
  • Other assigned responsibilities and projects as needed
