About The Position

The Patient Access Representative/Scheduler is the first point of contact for all patients, responsible for patient check-in and out, payment collection, and medical record management. This role requires excellent customer service skills to provide a superior patient experience aligned with the Center's mission and vision. The position involves greeting patients, answering calls, identifying patient needs, confirming identity and eligibility, obtaining signatures, scheduling appointments, and answering questions. Additionally, the role performs various office and clerical duties, ensuring patient privacy, safety, and confidentiality. Maintaining a safe environment and compliance with infection control policies are crucial. For those with Medical Assistant (MA) duties, responsibilities extend to escorting patients, recording vital signs and medication lists, monitoring patient flow, assisting with minor clinical procedures, administering immunizations, and preparing patient charts. Scheduling diagnostic tests and other assigned duties are also part of the role.

Requirements

  • High School or equivalent
  • Specialized/technical training Graduate from an accredited Medical Assistant Diploma/Certificate Program required.
  • 0-1 year Experience in an office or ambulatory clinic setting as a Front Office Medical Assistant.
  • Knowledgeable and understanding of medical terminology, ability to interview patients and interface with physicians, nurses and other professional staff.
  • Knowledgeable in Electronic Health records, and various computer programs such as word, and excel.
  • Must have excellent communication skills, including the ability to speak, read and write English/Spanish proficiently.
  • Must be comfortable with computers and medical terminology.
  • Basic Life Support (BLS) Healthcare Provider from American Heart Association
  • Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only).

Nice To Haves

  • 3 years Experience in an office or ambulatory clinic setting as a Front Office Medical Assistant.

Responsibilities

  • Acts as the positive “face” of the Health Center as the main point of contact for participants and families.
  • Support center operations by greeting and checking in patients at the front desk, scheduling appointments, and other front desk functions.
  • Schedules appointments, confirms patient availability and properly reviews appointment date, time, location, and provider name with caller for accuracy.
  • Act as an advocate/liaison for patients and the Health Center and continuum of care as appropriate.
  • Answer telephone promptly and in a polite professional manner. Direct calls to other departments as needed.
  • Use sound judgement in handling calls, especially with upset patients. Understanding of when to escalate calls.
  • Maintain all delegated worklists (tasks) through the electronic medical record.
  • Effective, efficient, and safe use of equipment.
  • Handles patient requests and questions appropriately.
  • Provides benefit plan and eligibility information to participants, providers, unions, employers, and others.
  • Adheres to the Culinary Health Center and Keck Medicine of USC NV PC policies and procedures.
  • Performs duties as care coordinator when assigned.
  • Determines patient care needs and directs patients accordingly.
  • Ensures patient charts are prepared prior to appointment including x-rays and pertinent lab work, makes arrangements to obtain any special equipment needed. Sets up exam rooms, assists physician with exams as needed, monitors patient flow.
  • Prepares and administers adult and pediatric immunizations according to provider’s orders.
  • Prepares patients for examinations. Obtains and records vital signs.
  • Ensures health care delivery areas are fully stocked, organized, cleaned, and disinfected.
  • Maintains files and records, oversees equipment and office supply inventory. Photocopies, collates, faxes, distributes, mails, and performs errands.
  • Ensures that physician orders for medications and treatments are implemented by the appropriate staff.
  • Assists the physician with exams and procedures.
  • Records patient information in chart//EHR according to Joint Commission standards. Maintains a professional demeanor.
  • Schedules patient appointments.
  • Performs other duties as assigned.
