About The Position

This role is responsible for monitoring reception areas, greeting patients, updating chart information, and effectively initiating patient visits. The Patient Access Representative plays a crucial part in ensuring a smooth patient experience from arrival to check-out. The position requires a team-based approach to patient care, emphasizing excellent communication and coordination skills to provide quality patient care. Team members are expected to understand and embrace population health management, proactively address patient and family needs, and communicate effectively with vulnerable patient populations. Participation in Continuous Quality Improvement (CQI) activities is essential for ensuring high-quality care and improving practice performance.

Responsibilities

  • Open office daily and provide adequate reception area environment for all patients.
  • Update patient’s demographic and insurance information at each visit.
  • Communicate and interact effectively with patients and families, physicians, and peers to maximize successful patient outcomes.
  • Answer telephone calls courteously and direct calls appropriately.
  • Monitor the Schedule for workflow and patient wait times.
  • Create new charts and encounters through electronic registration.
  • Obtain proper patient identification and pictures, including any custody/guarantor documents.
  • Register each patient to create encounters electronically while obtaining and inputting correct patient information.
  • Collect co-pays and receive cash and check payments.
  • Verify Insurance Coverage and Information for each patient.
  • Check EHR tasks and handle requests and jobs assigned therein efficiently.
  • Close Clinic as assigned.
  • Cover the patient check out and scheduling position for breaks, lunch, and other absences.
  • Provide spiritual care for the patients.
  • Perform all aspects of sliding fee process.
  • Perform encounter audits.
  • Be proficient in PM and EHR software.
  • Embrace a team-based approach to patient care and understand that each role is important to success.
  • Demonstrate excellent communication and coordination skills to provide quality patient care.
  • Communicate with community organizations, health plans, facilities, and specialists.
  • Understand and embrace the concept of population health management and proactively address the needs of patients and families served by the practice.
  • Demonstrate the skills and knowledge necessary to communicate effectively with vulnerable patient populations.
  • Participate in Continuous Quality Improvement (CQI) activities within the organization to ensure patients receive high-quality care.
  • Participate in the review and evaluation of practice performance and help identify opportunities for improvement.
  • Participate in Grace Health's advocacy program.
  • Follow all organizational policies and procedures, including administrative, clinical, quality assurance, and personnel policies.
  • Maintain satisfactory attendance, including attendance at meetings and completion of assigned tasks.
  • Maintain timely documentation of all work assignments.
  • Maintain patient confidentiality.
  • Routinely keep the supervisor informed regarding attendance and job assignments.
  • Demonstrate flexibility and the ability to multitask.
  • Work effectively and efficiently.
  • Work cooperatively with providers, administration, and peers.
