About The Position

Cancer Specialists of North Florida is recruiting for an experienced Patient Access Representative II for our busy Ascension Riverside Office. A Patient Access Representative II is integral to multi-service, multi-centered clinics offering Radiation, Medical Oncology, Hematology, and Imaging services. This role supports patient access and front office operations in a fast-paced, multi-department environment, coordinating patient care across multiple clinical services. The position requires advanced multitasking abilities, proficiency with multiple systems, and the ability to manage complex workflows while ensuring a professional and welcoming patient experience.

Requirements

  • High School Diploma or Equivalent
  • Minimum of two or more years’ experience in a medical office setting

Nice To Haves

  • Hematology/Oncology experience preferred

Responsibilities

  • Greet patients and visitors promptly and professionally. Check in patients and notify clinical staff of arrivals.
  • Provide, collect, and proof patient forms. Update demographics, insurance information, and clinical documentation in the system. Collect co-pays, balances, and provide receipts.
  • Ensure patients are registered in the correct systems for all applicable services and departments.
  • Answer, screen, and respond to inquiries via phone, electronic communication, or in person. Route messages to appropriate personnel and communicate accurately and promptly.
  • Check patients out and schedule returning appointments across multiple departments. Provide detailed appointment information, preparation instructions, and directions.
  • Assist New Patient Coordinators arrange physician referrals and related medical appointments as needed.
  • Record cancellations and missed appointments, reschedule as appropriate, and notify relevant staff.
  • Provide administrative support, including filing, maintaining patient charts, and organizing clinic supplies.
  • Maintain a professional and welcoming front office and patient waiting area.
  • Provide scheduling support for multiple departments including Radiation, Oncology, and Imaging while coordinating patient care across teams.
  • Utilize systems such as Phrasia, Mosaiq, Onco, and G4 to manage patient registration and maintain accurate scheduling.
  • Adhere strictly to confidentiality, HIPAA regulations, and state and federal laws regarding patient information.
  • Serve as a point of guidance for other front desk staff and support cross-department coordination.
  • Perform additional duties as requested or assigned.
