About The Position

The Patient Access Representative will greet patients, visitors, and representatives, directing them to the appropriate office or destination. This role involves registering patients for appointments, collecting and verifying demographic and insurance information, scanning identification and insurance cards, and collecting patient payments. The representative will also manage consent forms, verify insurance eligibility, initiate encounter forms, answer phone calls, schedule appointments, and process patient payments and charges. Additionally, the role includes balancing daily receipts, reconciling cash drawers, scanning patient documents, monitoring wait times, notifying appropriate staff of emergencies, maintaining waiting area neatness, printing schedules, and participating in Patient Centered Medical Home initiatives. Flexibility across the ConnextCare network and other duties as assigned are also part of the role.

Requirements

  • High school graduate or GED.
  • Verbal and written communication skills.
  • Office applications preferred.
  • Demonstrate proper judgment and decision-making skills when necessary.
  • Comply with the organization's code of conduct, safety rules, and adhere to all company policies.
  • Carry out job responsibilities in an ethical, effective, and professional manner.
  • Willingness and ability to cooperate, work, and communicate with coworkers and supervisors.
  • Demonstrate computer proficiency with Microsoft Suite and electronic medical record system.
  • Willingness to accept direction from providers and supervisors.
  • Ability to work well and with compassion in stressful situations.
  • Maintain a professional and courteous demeanor with both patients and co-workers.
  • Keen awareness of the importance of confidentiality in all aspects of the position.
  • Ability to firmly pursue payments on account.

Responsibilities

  • Greet patients, visitors, and representatives, directing them to the appropriate office/destination.
  • Register patients for scheduled appointments, collecting and verifying demographic and insurance information.
  • Scan driver's license or photo ID and insurance card into electronic medical record software.
  • Collect patient's financial responsibility portion of visit costs.
  • Have patients sign Patient Responsibility Agreement when needed.
  • Distribute and secure signatures for required consent forms for treatment, offer Advanced Directives, Notice of Privacy Practices, and Patient Bill of Rights.
  • Verify insurance eligibility and secure signatures on appropriate insurance forms.
  • Initiate encounter form for patient's visit.
  • Answer incoming phone calls, transfer calls, and schedule appointments.
  • Post charges to patient accounts and record all payments collected.
  • Close daily journal and balance receipts to payments received.
  • Reconcile cash drawer/money bag.
  • Scan all patient documents as instructed.
  • Monitor excessive wait times and notify the Nurse Manager.
  • Notify triage nurses of emergencies or nurse-related patient questions.
  • Transport walk-ins/emergencies to appropriate areas if needed.
  • Ensure waiting areas are neat and clean.
  • Print schedules three days in advance.
  • Be flexible to organizational needs across the ConnextCare network.
  • Engage in Patient Centered Medical Home initiatives, including participating as part of the Clinical Care Team.
  • Perform other duties and responsibilities as requested by management and supervision.
