About The Position

NYU Langone Hospital—Suffolk is a 306-bed medical center providing care to residents of eastern Long Island. The hospital facility is home to the Knapp Cardiac Care Center, an advanced heart disease diagnostic and treatment facility, as well as a modern ambulatory surgical pavilion with specialized services including women's imaging, a sleep laboratory, and bariatric surgery. Our Provisional Level 2 Trauma Center delivers comprehensive and specialized care for patients with traumatic injuries. The Stroke Center at NYU Langone Hospital—Suffolk is designated by the New York State Department of Health as a Primary Stroke Center, with expert neurologists available to provide treatment 24 hours a day, 7 days a week. Additionally, NYU Langone Hospital—Suffolk has multiple outpatient sites, including an outpatient wound care center, a hemodialysis center, and various primary care and specialty offices. This role involves interviewing patients to obtain necessary identification information and preparing required forms for treatment, billing, or record release authorization. The associate applies ID bands to patients when necessary, following the two-identifier rule. They also have contact with insurance companies for notification or other information, educate patients about Advance Directives and Charity Care when necessary, and perform other clerical duties. The associate represents the Emergency Department, Pre Surgical Testing, Admitting, and other ancillary areas, serving as a liaison between patients and staff by entering arriving patients into the computer system to allow for patient processing and throughput. In addition, Patient Access Associates assist departments with projects and various duties as deemed by management staff.

Requirements

  • High school diploma or equivalency.
  • Understanding of Medical Terminology.
  • Prior customer service experience.
  • Ability to learn quickly as technology and insurance requirements change.
  • Basic computer and keyboarding skills.
  • Ability to walk and stand in a fast-paced environment with frequent interruptions.

Responsibilities

  • Asks appropriate questions to obtain correct identification information.
  • Obtains the correct Demographic, Guarantor, Next of Kin, and Emergency Contact information.
  • Obtains current insurance coverage, and identification.
  • Ascertains the correct Coordination of Benefits (COB) and enters the necessary information to ensure payment.
  • Scans all documents into the Electronic Document Imaging.
  • Asks appropriate questions to complete Medicare Secondary Payer Questionnaire when necessary and enters the necessary data, especially the patient Medicare number for payment.
  • Interprets Payor Websites.
  • Explains hospital and Regulatory forms to patients and families before signing.
  • Ensures Patient Forms are signed, witnessed, dated, and timed as appropriate for the registration type.
  • Documents necessary explanations when unable to obtain signatures, with all documentation signed and dated.
  • Documents all follow-up actions.
  • Distributes registration forms to locations within ED, Peri-op, and Inpatient units.
  • Attaches I.D. band to patient wrist in accordance with Medical Center policy and procedures, verifying two identifiers before affixing the band.
  • Offers all patients a copy of the Patient Bill of Rights and the Addendum of the Patient Rights.
  • Reviews Advance Directives at the time of registration and follows up to obtain Advance Directives if not present at the time of treatment.
  • Documents when education is unable to be given due to patient condition or situation, and follows up until signatures are obtained.
  • Ensures charts are in order with all forms ready for the next day.
  • Collects copayments, deductibles, and all hospital payments.
  • Enters all payments into the EHR using the appropriate account number for each payment.
  • Issues receipts for payments, ensuring all credit card receipts have the signature of the cardholder.
  • Balances daily receipts and closes out all transactions by the end of the shift.
  • Prints all close-out transactions with payment.
  • Completes all transactions daily by the end of the shift and prepares them for courier pick-up.
  • Answers telephones in a professional and confidential manner, providing a greeting, department name, and their name, and relays messages clearly.
  • Works with clinical staff to facilitate patients' care and payment.
  • Attends and participates in at least 75% of departmental staff meetings annually.
  • Demonstrates knowledge of Department yearly Performance Improvement projects.
  • Demonstrates a team work ethic and assists coworkers to get the job done.
  • Is flexible to work additional shifts to assist the team.
  • Is willing to work in all areas of Patient Access.
  • Demonstrates knowledge of Patient Access Emergency Management process, location of disaster box in ER Registration and what to do without being prompted.
  • Provides excellent customer service skills by welcoming patients and families into the facility, directing them to appropriate locations, and providing customer service throughout their stay.
  • Demonstrates knowledge of the EHR System.
  • Demonstrates knowledge of downtime procedures in Patient Access areas, including the Emergency Department, and how to put patients back into the system.
  • Maintains neat and appropriate attire, follows departmental dress policy, and displays badge appropriately.
  • Maintains a positive attitude and is respectful to all coworkers, management, and ancillary staff.
