The Patient Access Assistant / MA performs administrative and clinical duties under the direction of supervisor and clinic manager. The duties include managing providers schedules providing access to patients, scheduling, rescheduling and canceling appointments, contact patients to schedule appointments. With a Quality, Customer First, and Compassionate approach, the Medical Assistant - Patient Access Specialist will provide proper triage for patients, monitor and regulate schedules and walk-in patients, answer and screen phone calls, provide information and schedule patient appointments in the HER system. This role involves team-based care, collaborating with medical, front desk, providers, clinical staff, and patients to promote access to appropriate care and enhance patient care. The position requires developing and maintaining good working relationships with colleagues in other departments, monitoring, maintaining, and providing appropriate follow-up on schedules, contacting patients due for a visit when a cancellation occurs, and alerting other departments in the event of schedule changes and emergencies. The role also involves assisting and searching for available appointments to fulfill access care in a timely manner, compiling and analyzing patient needs to develop more effective patient care and prevent delays, and outreach to patients who may need to schedule an appointment. Additionally, the Patient Access Assistant will contact patients to remind them about their appointments to confirm and/or cancel, manage templates for day-to-day edits and reschedules, contribute to the smooth operation of the practice, and return calls to patients in a timely manner. The role ensures patient visits are more efficient by identifying that records from transitions of care are available, results from labs or diagnostics are in the EHR, and labs or other services are specified in standing orders protocols. The role also assists the team to maintain proper clinic flow and performs other duties as assigned.
