About The Position

This position is for a full-time Pathology Secretary in the Lab Histology/Pathology department, working day shifts. The role involves supervising business/clerical functions, transcribing dictation, managing patient history and billing information, handling telephone communications, performing computer-based functions including word processing and database management, operating office equipment, maintaining files, and promoting patient safety goals. The ideal candidate will have strong organizational and communication skills, be able to manage multiple tasks with minimal supervision, and possess knowledge of medical terminology and coding.

Requirements

  • Ability to type 60-80 wpm
  • Knowledgeable in the use of data bases, word processing, and spreadsheets
  • Strong customer service orientation
  • Excellent communication skills: telephone, verbal, and written (including grammar, composition, spelling, punctuation)
  • Excellent organizational skills
  • Able to prioritize work assignments and manage multiple projects with minimal supervision
  • Medical terminology with an understanding of diagnosis codes and CPT coding
  • Ability to handle frequent interruptions while maintaining accuracy in work
  • Ability to work well with others, as well as work independently

Responsibilities

  • Supervises the business/clerical functions.
  • Transcribes dictation for the pathology section.
  • Enters patient history into the computer system.
  • Reviews and updates billing information as appropriate.
  • Maintains confidentiality of all results, personnel, and business operations.
  • Transcribes memos and letters.
  • Checks reports, memos, and letters for correct grammar.
  • Distributes reports and correspondence.
  • Verifies CPT codes at the beginning and end of the transcription process.
  • Communicates clearly to callers by answering questions, directing calls, and screening calls.
  • Maintains a professional demeanor at all times.
  • Performs word processing of reports, letters, and charts for laboratory managers, pathologists, and section leaders.
  • Maintains databases as needed.
  • Uses Microsoft Office to manage physician calendar, schedule meetings, and send emails for the department.
  • Compiles and tabulates data for QA/QC reports, presentations, financials, and other projects.
  • Operates and/or troubleshoots all office equipment, including fax and copier.
  • Maintains all files: surgical, cytology, and computer-based.
  • Prepares slides and reports for conferences and consultations.
  • Prepares and completes send-out requests and files returned materials.
  • Cross-references signed Cytology and Histology reports with the pathology information log.
  • Demonstrates understanding that all employees are responsible for patient safety.
  • Recognizes the importance of reporting, documenting, and reviewing errors to improve patient care.
  • Performs other duties as assigned.
