About The Position

The Parts Specialist role is responsible for sourcing, evaluating, and procuring heavy truck and equipment parts, components, and materials. This position assists mechanics in identifying and ordering correct parts to support timely repairs and maintenance, while also maintaining accurate inventory records and managing inventory levels to ensure parts availability. The specialist will organize and maintain a clean and efficient parts department, verify receipts against purchase orders, and resolve discrepancies. Additionally, they will investigate supplier issues, process warranty claims and returns, and utilize technical resources to identify replacement parts. The role involves analyzing inventory trends and supplier performance to recommend cost-saving improvements, serving as a resource for inventory questions, and responding to maintenance-related inquiries. Participation in continuous improvement initiatives and providing training on parts and inventory processes are also key aspects of the position.

Requirements

  • Minimum 4 years of experience with heavy truck parts or parts room operations required
  • Experience using procurement software and inventory management systems
  • Knowledge of Microsoft 365 applications
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication and problem-solving skills
  • High school diploma or GED required
  • Valid driver's license required
  • Forklift certification or ability to obtain certification required
  • Overhead crane certification or ability to obtain certification required

  • Fleet maintenance or heavy equipment industry experience preferred

Responsibilities

  • Source, evaluate and procure heavy truck and equipment parts, components and materials
  • Assist mechanics in identifying and ordering the correct parts to support timely repairs and maintenance
  • Maintain accurate inventory records and inventory management systems
  • Conduct cycle counts and monitor inventory levels to ensure parts availability
  • Organize and maintain a clean, efficient and well-labeled parts department
  • Verify receipts against purchase orders and resolve discrepancies
  • Investigate supplier issues, backorders and alternative sourcing options
  • Process warranty claims, core returns and parts returns within required timelines
  • Utilize technical manuals, digital tools and product documentation to identify replacement parts
  • Analyze inventory trends, supplier performance and return data to recommend cost-saving improvements
  • Serve as a resource for inventory questions, looking up parts and shop communication
  • Respond professionally to maintenance-related inquiries
  • Participate in continuous improvement initiatives that enhance efficiency and reduce downtime
  • Provide training, coaching or mentoring related to parts and inventory processes as needed
