About The Position

Sandvik Mining is seeking a Parts & Services Proposal Coordinator to join their team. Sandvik Mining, a business area within the Sandvik Group, is a global supplier of equipment, tools, service, and technical solutions for the mining industry, covering rock drilling, cutting, crushing, loading, hauling, and materials handling. With strong attention to detail and a process-driven mindset, the coordinator will be instrumental in supporting sales teams by delivering high-quality, compliant, and competitive Parts & Services proposals that clearly articulate scope, value, and commercial commitments. The P&S Proposal Coordinator will support the national Parts & Services sales organization by owning and coordinating customer-specific P&S proposals across regions, ensuring each proposal clearly defines scope, value-added elements, services, and commercial conditions. Working closely with the P&S Sales Support Manager, Sales teams, Pricing, Finance, Services, and Product stakeholders, this role ensures proposals are accurate, compliant, timely, and aligned with Sandvik’s commercial strategy and margin expectations. The position emphasizes execution excellence, process standardization, and continuous improvement of P&S proposal workflows, focusing on clarity, completeness, and value communication.

Requirements

  • Bachelor’s degree in Business, Engineering, Finance, or a related field.
  • 3–6 years of experience in proposal coordination, sales operations, commercial support, or a similar role.
  • Highly organized, detail-oriented, and process-focused.
  • Strong communication skills.
  • Ability to coordinate across multiple stakeholders.
  • Takes ownership of deliverables.
  • Comfortable working with structure, templates, and data.
  • Strong attention to detail and document accuracy.
  • Commercial awareness and margin sensitivity.
  • Ability to manage multiple proposals and deadlines simultaneously.
  • Structured, process-oriented mindset.
  • Proficiency in CRM, ERP, quoting tools, and Microsoft Office (Excel, Word, PowerPoint, SharePoint, Salesforce, and/or Power BI).
  • Confidence working cross-functionally with Sales, Finance, Services, and Operations.

Responsibilities

  • Manage and standardize the Parts & Services proposal process across regions.
  • Coordinate end-to-end P&S proposal development (parts, components, rebuilds, services, and complex bundles), ensuring scope and value-added elements are clearly defined.
  • Support complex bids, national accounts, and strategic tenders, ensuring structured execution and alignment with commercial strategy.
  • Ensure pricing accuracy, margin compliance, and approval workflows are properly followed.
  • Validate discount application, pricing logic, and commercial terms in coordination with Sales Support, Finance, and Pricing.
  • Support risk identification and ensure potential commercial exposures are flagged early.
  • Maintain and continuously improve standard proposal templates, commercial documentation, and quotation formats.
  • Drive improvements in proposal turnaround time, submission quality and risk assessment and completeness of commercial submissions.
  • Support process automation and standardization initiatives related to proposals and quotations.
  • Administer, track, and follow up on all P&S proposals in CRM (Salesforce), ensuring proper registration, accurate status updates, maintained key opportunity dates, clear ownership, and proposal progression through to closure (Won/Lost/No decision).
  • Ensure effective use of CRM, ERP, and quoting tools.
  • Maintain proposal records, version control, and audit-ready documentation.
  • Provide visibility and reporting on proposal pipeline, hit rates, cycle time, and outstanding actions.
