About The Position

The Parts Procurement Specialist is responsible for sourcing, purchasing, tracking, and managing replacement parts for major home appliances. This role works closely with service technicians, manufacturers, distributors, and customer service representatives to ensure timely part availability while maintaining inventory accuracy, controlling costs, and minimizing customer downtime.

Requirements

  • High school diploma or equivalent required
  • 2+ years of purchasing, procurement, inventory management, or appliance parts experience preferred.
  • Knowledge of major household appliance components and repair terminology is highly desirable.
  • Strong computer skills
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Customer-focused mindset with strong problem-solving abilities.

  • Experience negotiating with suppliers and managing vendor relationships.

Responsibilities

  • Procure OEM and approved replacement parts for major appliance brands including Whirlpool, GE, LG, Samsung, Bosch, Frigidaire, Electrolux, KitchenAid, JennAir, Maytag, and others.
  • Research part numbers using manufacturer parts diagrams, service manuals, and technical documentation.
  • Verify part compatibility before ordering to minimize ordering errors and repeat service visits.
  • Process purchase orders accurately and efficiently.
  • Monitor vendor pricing, freight costs, and delivery schedules to optimize purchasing decisions.
  • Track all parts from order placement through receipt and technician delivery.
  • Maintain accurate records within the service management software.
  • Coordinate with service dispatch, technicians, and customer service regarding part availability and repair timelines.
  • Expedite critical or emergency parts orders as needed.
  • Resolve vendor issues involving backorders, shortages, damaged shipments, incorrect parts, returns, and warranty claims.
  • Maintain appropriate inventory levels of high-volume service parts while minimizing excess stock.
  • Conduct periodic inventory counts and reconcile discrepancies.
  • Build and maintain positive working relationships with manufacturers and parts distributors.
  • Identify opportunities to improve purchasing efficiency, reduce costs, and improve first-call completion rates.
  • Ensure compliance with company purchasing policies and manufacturer requirements.
