About The Position

Sonsray Fleet is seeking a motivated and customer-focused Parts Counter Representative to join our San Leandro team. This role is responsible for supporting both internal service technicians and external customers by providing accurate parts support, order fulfillment, inventory management, and exceptional customer service. The ideal candidate is organized, dependable, and thrives in a fast-paced dealership environment. Experience in heavy-duty truck, transport refrigeration, automotive, or equipment parts is highly preferred.

Requirements

• Minimum 3 years of experience handling heavy phones, office administrative duties, customer relations, great computer skills, and problem-solving
• Ability to review records and explain technical information to customers.
• Proficiency in calculating costs for materials, supplies, and labor.
• Experience in documenting symptoms, problems, and causes, and outlining required repairs.
• Capability to obtain approval signatures and accurately enter data into a service database (e.g., E-Emphasys).
• Strong communication and interpersonal skills to build customer confidence and address concerns.
• Detail-oriented for maintaining accurate and comprehensive unit records.
• Commitment to continuous learning and staying current with industry knowledge, including reading manufacturer publications and completing online factory courses.
• Proactive and adaptable, with a willingness to take on new tasks and identify areas for improvement.

Nice To Haves

• Experience in heavy-duty truck, transport refrigeration, automotive, or equipment parts is highly preferred.
• Refrigerated Transportation or Heavy Diesel dealership experience is highly desired
• Bilingual in Spanish preferred (ability to communicate effectively with Spanish-speaking customers)

Responsibilities

• Assist mechanics and customers with parts inquiries, counter sales, and order processing
• Answer incoming calls and provide accurate parts information and support
• Receive, fill, package, ship, and stage parts orders
• Maintain inventory accuracy through stocking, cycle counts, and physical inventory
• Coordinate receipt and staging of units for installation
• Record sales, delivery, and inventory transactions accurately
• Operate a forklift for loading, unloading, and warehouse support
• Maintain cleanliness and organization within the parts department
• Occasionally travel to customer or prospective client locations as needed
• Follow all company safety policies and dealership procedures
• Support additional departmental and operational needs as assigned
