About The Position

The Parts Advisor is responsible for keeping track of inventory, receiving, and selling parts. This role is crucial for maintaining parts inventory to support all products within APO and involves reviewing sales/profit performance with key stakeholders to identify areas for improvement. The Parts Advisor will utilize the Dealer Management System (DMS) for inventory, recordkeeping, and parts information. They will serve counter customers, suggest additional related items (upselling), and communicate customer relationship issues to the General Service Manager. Accurate and prompt entry of parts sales orders, daily completion of all parts orders, and tracking of incomplete orders are key responsibilities. The role also includes processing parts returns, assisting with Field and Shop Tech part orders, checking in work order parts, analyzing current inventory against computerized records, and maintaining a neat lobby display and counter work area. Ensuring all Dealer Parts targets/goals are met and maintaining KPI information for tracking targets are also essential. The Parts Advisor must inspect all parts for damage, quality, and accuracy, returning and re-ordering any damaged or incorrect parts, and comply with all Dealer and OSHA safety rules, guidelines, and standards. Other related duties may be assigned.

Requirements

  • Prior parts experience a plus.
  • Prior warehouse experience preferred.
  • Prior customer service experience preferred.
  • Must pass any drug screens, background checks, and any pre-employment tests, which will be conducted in accordance with applicable law.

Responsibilities

  • Ordering parts from preferred vendors, tracking parts for arrival, distribution, storing parts, and ensuring the prompt return of damaged or unused parts.
  • Handling all customer orders in keeping with company customer satisfaction practice.
  • Maintaining parts inventory to support all products within APO.
  • Reviewing the previous month’s sales/profit performance with key stakeholders to determine where improvements can be made to increase profitability.
  • Utilizing DMS for inventory, recordkeeping, parts information, etc.
  • Serving counter customers or acknowledging promptly upon approaching the parts counter.
  • Suggesting at least one additional related item to each customer on every call (Upselling).
  • Communicating all customer relationship issues to the General Service Manager, including complaints, obtaining all pertinent information before reporting and suggesting course of action.
  • Entering all parts sales orders promptly and correctly in the computer to print and shipping the order.
  • Completing all parts orders daily, assisting co-workers as needed.
  • Tracking any incomplete order status (outstanding orders, backorders, and credits) and following up as necessary.
  • Processing parts return the day received, checking for condition, and ensuring they are stocked same day.
  • Assisting with filling Field and Shop Tech part orders.
  • Checking in workorder parts, labeling, and distributing immediately upon receipt or storing in an organized manner until the assigned job is ready for the part.
  • Analyzing current inventory and spot-checking to ensure that actual inventory coincides with computerized inventory, along with reviewing back orders, etc.
  • Maintaining neat lobby display and counter work area to ensure company standards and appearance.
  • Ensuring all Dealer Parts targets/goals are met and maintaining all KPI information for tracking targets.
  • Tracking any incomplete order status (outstanding orders, backorders, and credits) and following up as necessary.
  • Inspecting all parts for damage, quality, and accuracy.
  • Returning and re-ordering any damaged or incorrect parts.
  • Complying with all Dealer and OSHA safety rules, guidelines, and standards.
  • Performing other related duties as assigned.
