About The Position

The Participant Services Specialist (PSS) is often the first point of contact for all participants and visitors on campus. A PSS is skilled at prioritizing multiple tasks while providing high-quality support to participants, internal staff, and external agencies and contacts. The PSS works in a high-contact, fast-paced work environment while balancing both routine and unplanned tasks.

Requirements

  • Ability to effectively organize and prioritize a wide variety of time-sensitive tasks, and to coordinate work with Front Desk teammate as necessary.

  • Ability to foster teamwork, promote process improvement, and build relationships
  • Proficient with Microsoft Office Suite or related software
  • Ability to work effectively with a wide range of people to achieve individual and organizational objectives
  • Flexibility in adapting to program changes and to the individual needs of participants
  • Committed to the mission and values of Sponsors and reentry services
  • 1+ year performing administrative support work in a professional office environment
  • High school diploma or equivalent

Nice To Haves

  • 1+ year of experience providing direct client services in a social service setting preferred
  • higher education degree in a related field preferred
  • Knowledge of QuickBooks (or another accounting software) and experience with cash drawer reconciliations

Responsibilities

  • Support multiple departments by providing reception of guests
  • Receive, answer and direct phone calls that come into the main line
  • Create and update records in the case management database
  • Complete admissions and exit forms
  • Process participant and organizational financial transactions
  • Coordinate the distribution of mail to participants and staff
  • Perform limited banking functions
  • Reconcile participant accounts and the cash drawer
  • Maintain organized and accurate participant files
  • Prepare and submit monthly and annual OHCS reports
  • General administrative support functions under the direction of the Finance Director
