About The Position

We are seeking a highly organized, proactive Executive Operations Assistant to support our Executive Team. This role focuses on calendar management, meeting coordination, executive intake management, and cross-functional follow-through—ensuring leadership time is protected and priorities move forward smoothly. This is a remote, part-time role ideal for someone who excels at coordination, communication, and keeping details from falling through the cracks.

  • Comfortable working with tools such as Google Calendar, Zoom, and ClickUp

  • Experience supporting executives in a scheduling, operations, marketing, or administrative role

Responsibilities

  • Managing scheduling and calendars for the Executive Team, including coordinating internal and external meetings across time zones, flagging conflicts, and protecting prep time.
  • Coordinating meeting logistics such as ordering lunches, booking rooms, and creating guest passes.
  • Preparing meetings (both virtual and in-person) by confirming agendas, collecting and distributing pre-reads, and setting up agendas and tasks in ClickUp.
  • Capture meeting decisions and action items, track follow-through, and follow up with owners on deadlines.
  • Assist with coordination between Marketing and Commercial teams, track deliverables and deadlines, and proactively flag gaps, risks, or missed follow-ups.
