The position will work approximately 20 hours per week but may flex on timing of work based on the inherent nature of a confidential executive assistant role. This position is eligible for benefits.

Requirements

  • Five years’ experience working as a high level administrative or executive assistant, handling confidential information and demonstrating strong critical thinking skills.
  • Ability to work independently, handling complex projects and assignments.
  • Strong executive presence with the ability to work and communicate effectively (both verbally and in writing) to board members, diverse customers and executives from a multi-national background, and internal staff.
  • Excellent organizational skills including the ability to multi-task amongst competing projects and time-sensitive deadlines, working in different applications and spreadsheets and pulling up and presenting information to professional groups.
  • Excellent interpersonal skills and emotional intelligence with the ability to anticipate and provide proactive support.
  • Expert grasp of Microsoft Office Suite as well as other remote collaboration tools, including the ability to create and edit documents, setup up meetings across multiple time zones, manage billing and invoicing, and draft correspondence on behalf of the CEO.

Responsibilities

  • Confidently manage email inbox including drafting and sending correspondence on behalf of the CEO
  • Manage the confidential calendar of the CEO including scheduling meetings with internal and external partners across global time zones
  • Act as the point of contact, including verbal and written correspondence between the CEO and our Private Equity partners
  • First point of contact for Board of Directors including written and verbal correspondence between board members and the executive team, scheduling and arranging all details of hybrid board meetings (electronic attendance, booking physical location, ensuring technology is set up in the room, catering, etc.), building board agendas and ensuring all participating members have access to the appropriate materials
  • Managing the CEOs travel and work-related expenses and billing, including working with the finance team to provide receipts and other needed information
  • Collaborate with and provide back-up as needed for Office Manager for meetings, off-site event planning and additional projects
