The Part-Time Administrative Specialist, Budget is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and institution policy.

Requirements

  • The formal education equivalent of a high school diploma
  • One year of specialized training in business management, business education, or a related field
  • Other job-related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee.
  • Knowledge of the principles and practices of mathematics and statistics
  • Knowledge of research and analysis techniques and methods
  • Knowledge of work-related subject area
  • Knowledge of computers and software applications
  • Ability to prepare, present, and review oral and written information and reports
  • Ability to research and analyze related work program information
  • Ability to develop, recommend, interpret, and apply policies and procedures
  • Ability to analyze financial records and prepare reports
  • Ability to plan, organize, and direct the work of others

Responsibilities

  • Reviewing and tracking expenditures against approved budgets to identify variances
  • Entering budget data, tracking transactions, and maintaining accurate financial records in a database or financial system
  • Track departmental spending against allocated funds, monitor for compliance with regulations, and prevent overspending
  • Organizes and maintains work files using a variety of systems such as the college’s database management system, Microsoft Office Suite- particularly Excel
  • Collaborate with other divisional administrative assistants, campus organizations and staff, and community partners.
  • Preparing routine financial reports, budget summaries, and spreadsheets for management review.
  • Acting as a liaison between department managers and the finance department to address budget deficiencies
  • Performing general office duties such as filing, scheduling, and preparing meeting materials.
  • Regular, reliable, and non-disruptive attendance is an essential job function of this job, as is the ability to create and maintain collegial, harmonious working relationships with others.
  • Performs any other related duties as required or assigned
