About The Position

The Archdiocese is seeking a Parish Secretary for St. Thomas Apostle Catholic Church. The Parish Secretary reports to and performs general support for the Pastor. This role involves typing, establishing and maintaining databases for mailing lists and reports, managing telephone calls, maintaining the office calendar, preparing the weekly parish bulletin, handling correspondence and document preparation, scheduling meetings and events, managing office inventory and purchasing, and other general office duties.

Requirements

  • Must be a practicing Catholic.
  • High School diploma required.
  • 3 to 5 years’ administrative experience required.
  • Type 50+ wpm.
  • Ability to communicate effectively both orally and in writing.
  • Excellent organizational and people skills.
  • Advanced skills in MS Office (Word, Excel).
  • Proficiency with common social media platforms required.

Nice To Haves

  • Knowledge of CMS (Church Management Solutions) software a plus.

Responsibilities

  • Answer the office phone during business hours.
  • Records clear and accurate messages.
  • Handles routine questions about policies.
  • Greets visitors.
  • Provides secretarial and clerical services to the Pastor.
  • Prepares regular and bulk mailing.
  • Screens incoming mail.
  • Distributes mail and other related material.
  • Maintains filing system.
  • Manages office inventory of general supplies.
  • Provides recordkeeping services for the office.
  • Maintains records for the office (e.g. directory, mailing list, events calendar, check requests, etc.).
  • Manages parish database.
  • Coordinates and schedules volunteers in the office.
  • Manage parish website and social media outlets.
  • Oversees parish bulletin.
  • Opens and closes the office.
