About The Position

The Parish Office Assistant/Hall Coordinator supports the daily operations of the parish office and the mission of St. Catherine Catholic Church by helping create a welcoming, organized, and vibrant parish community where faith is lived, celebrated, and shared. This position combines administrative responsibilities with hands-on support for parish events, communications, and ministry coordination. The ideal candidate is organized, flexible, service-oriented, and committed to actively assisting in the life and ministries of the parish.

Requirements

  • High school diploma or GED required
  • Strong organizational and multitasking skills with attention to detail.
  • Ability to work both independently and collaboratively in a team environment.
  • Proficiency in basic computer applications (Microsoft Office, email, and social media platforms).
  • Comfortable with technology, including website updates and digital communications.
  • Strong interpersonal and communication skills that are welcoming and service-oriented.
  • Ability to maintain confidentiality and professionalism at all times.
  • Flexibility and willingness to assist in a variety of tasks, including occasional evenings and weekends.
  • Ability to set up tables, chairs, and materials for meetings and events.
  • Ability to work both indoors and outdoors (e.g., updating signage).
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the public.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Nice To Haves

  • Prior administrative or ministry experience preferred.
  • Familiarity with Catholic Church practices, terminology, and parish life preferred.

Responsibilities

  • Assist in processing bills – coding, making copies, and filing.
  • Processing, recording, and reporting of offerings received through ParishSoft Family Suite, ParishSoft Giving and ParishSoft Accounting.
  • Assist in organizing and coordinating parish ministries, maintaining communication and collaboration among ministry leaders.
  • Assist with parish events and programs, including preparation and implementation of activities such as Vacation Bible School, parish missions, and seasonal celebrations.
  • Set up and break down meeting spaces in the parish center and conference rooms for events, classes, and ministry gatherings.
  • Maintain and update signage on parish grounds, including exterior signs and bulletin boards.
  • Update Lademia Hall rental contract as needed.
  • Coordinate, schedule and oversee Lademia Hall rental contracts and events with diligent attention to the parish calendar of events.
  • Assist with parish communications, including updating and managing social media platforms with regular posts and announcements.
  • Prepare Funeral, Quinceañera bulletins and binders in coordination with the Music Directors.
  • Help prepare materials for liturgical and parish events (e.g., handouts, registrations, event supplies).
  • Ensure office and ministry spaces are organized, clean, and adequately stocked.
  • Collaborate with staff and volunteers to ensure smooth execution of parish activities.
  • Role includes both desk work and hands-on event support.
  • Occasional evening and weekend hours required based on parish activities.
  • Perform other duties as assigned by the Pastor or Office Manager.
