Requirements

  • Associate’s degree or paralegal certificate from an ABA-approved program.
  • Minimum 3 years of litigation support experience in a Washington law firm or equivalent setting.
  • Proficiency with Microsoft Office Suite, PDF software, and legal research platforms.
  • Exceptional attention to detail and strong organizational skills.
  • Excellent legal writing, analytical, and verbal communication abilities.
  • Proven ability to manage competing deadlines and prioritize tasks in a fast-paced environment.

Responsibilities

  • Assist with client intake documents, questionnaires, and authorization forms.
  • Prepare and file case initiation documents, including complaints, summonses, and civil cover sheets, ensuring all deadlines are met.
  • Draft Proofs of Service and ensure proper filing and documentation with the court.
  • Maintain accurate case matrices and service lists.
  • Prepare and e-file legal documents, case management statements, notices of ruling, discovery shells, and opt-out notices.
  • Ensure compliance with Washington state and federal court rules.
  • Track litigation deadlines, hearing dates, and service windows; schedule virtual or in-person hearings.
  • Send reminders for hearings, mediation deadlines, jury fees, and tentative rulings.
  • Maintain case files in the firm’s matter management system (e.g., Filevine), ensuring documents are organized, Bates-stamped as needed, and accessible.
  • Update service lists, case matrices, and team calendars after filings or proofs of service.
  • Act as liaison with clients, process servers, mediators, court reporters, and opposing counsel.
  • Coordinate payment requests for court and mediation fees; submit invoices and expense documentation.
  • Oversee preparation and filing of case initiation documents (complaints, summonses, civil cover sheets) and ensure deadlines are met.
  • Maintain accurate case matrices and guide Legal Assistants on Proofs of Service and service lists.
  • Assist with onboarding and training new Legal Assistants.
  • Support litigation teams with administrative duties and special projects as needed.
