Requirements

  • Proven experience as a Paralegal or Executive Assistant or similar role, preferably in an in-house legal environment.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • High level of discretion and professionalism in handling confidential information.
  • Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.

  • Advanced command of Microsoft 365 (Word styles/cross-referencing/redlines, Excel, PowerPoint, Outlook, and Teams).
  • Strong proficiency with Microsoft SharePoint and cloud-based file management systems (e.g., configuring folders, metadata, and permissions).
  • Experience with e-signature platforms (e.g., DocuSign, Adobe Sign) and legal research or matter-management tools.
  • Bachelor’s degree or associate degree.
  • Previous experience as a paralegal or office assistant in a legal environment.

Responsibilities

  • Assist counsel with drafting, proofreading, redlining, and formatting commercial agreements, amendments, procurement contracts, and nondisclosure agreements (NDAs); manage signature routing and execution tracking.
  • Maintain, organize, and structure the company’s digital legal repository (SharePoint/cloud document libraries), enforcing standard naming conventions, version control, and metadata tagging across contracts and corporate matters.
  • Maintain corporate books, resolutions, board minutes, certificates of authority, and regulatory filings; assist with tracking entity compliance and reporting obligations.
  • Perform factual inquiries, basic legal research, and regulatory and court document retrieval; assist counsel with document collections, litigation hold notices, and discovery responses when necessary.
  • Protect attorney-client privileged communications and sensitive commercial data with uncompromised integrity and discretion.
  • Manage day-to-day administrative functions of the office, serving as the point of contact for office vendors, supply inventory, facility needs, and incoming/outgoing mail and deliveries.
  • Maintain legal department calendars, track statutory, contractual, and regulatory deadlines, and coordinate schedules across internal business teams and external counsel.
  • Organize legal meetings, prepare agendas, compile briefing binders and presentations, take accurate meeting minutes, and track action items to completion.
  • Arrange travel itineraries and logistics for the legal team; review, code, and track outside counsel legal invoices and departmental expenses.
