About The Position

The Administrative Receptionist provides administrative support to the Director of PACE and leadership team for PACE. Under the direct supervision of the PACE Center Manager, the Administrative Receptionist duties include general clerical, receptionist and project based work, answers all administration calls, type documents, and greets visitors to the PACE Center. The Administrative Receptionist should project a professional and cordial image through personal and phone interaction.

Requirements

  • Microsoft Office (Word, Excel, Access, and PowerPoint)
  • Valid California Driver’s License, acceptable driving record, and vehicle insurance.
  • Pleasant telephone personality.
  • Good typing ability.
  • High School graduate or equivalent required.
  • Current BLS CPR Card certified by the American Heart Association
  • Minimum one (1) year administrative experience.

Nice To Haves

  • Bilingual Spanish/English preferred.

Responsibilities

  • Provides administrative support to the Director of PACE and leadership team.
  • Performs general clerical, receptionist, and project-based work.
  • Answers all administration calls, types documents, and greets visitors.
  • Projects a professional and cordial image through personal and phone interaction.
  • Types correspondence, memos, and reports.
  • Types special reports and grant applications using a computer or word processor.
  • Answers telephone (Administration lines), transfers calls, and takes messages for PACE Administration.
  • Keeps inventory and stock of all office supplies.
  • Assists PACE staff with ordering supplies through purchasing.
  • Assists in meeting scheduling and logistics, including ordering food.
  • Maintains schedules for Boardroom and Conference rooms.
  • Transcribes correspondence/reports for the office.
  • Operates copy machine, including duplicating forms.
  • Receives incoming mail and distributes it.
  • Ensures outgoing mail from administration is taken to the mail room.
  • Keeps up-to-date files of all correspondence and memos.
  • Keeps the organization chart up to date.
  • Greets PACE visitors and answers questions.
  • Screens participant calls to PACE Administration and directs them to the appropriate person.
  • Answers general questions regarding accounts.
  • Handles confidential information and matters of discretion professionally.
  • Assists PACE Director, Center Manager, and Administrative staff with special projects.
  • Represents PACE at community functions/meetings as needed.
  • Observes each participant for any change in physical, mental, emotional, and social functioning and reports such changes to the licensed nurse.
  • Assists PACE staff with upcoming events.
  • Interacts professionally and respectfully with geriatric individuals, including those with cognitive decline and/or physical frailties.
  • Performs other duties as assigned by supervisor.
