About The Position

The PAC Associate demonstrates a courteous, friendly, and professional demeanor while greeting and checking in patients, visitors, and vendors. This role involves managing patient check-ins, collecting payments, handling a daily collection log for co-pays and balances, and reconciling cash drawers. The associate is responsible for answering incoming calls promptly and professionally, scheduling, rescheduling, or canceling patient appointments across multiple locations, and sending new evaluation appointment information to the pre-certification department. Additionally, they monitor visit limits and expiration dates, create claims for over-the-counter items and no-show fees, and accurately transfer and direct incoming calls. The role also includes assisting adjusters or outside entities with inquiries, entering patient demographics and insurance information into the EMR system, and potentially verifying eligibility and authorizations. Maintaining the cleanliness and tidiness of the front desk and waiting areas, screening visitors, adhering to delivery procedures, preparing school and work excuses, accepting and distributing medical records, checking out patients, scheduling follow-up appointments, and maintaining patient confidentiality are key aspects of this position. Flexibility with hours is required, and the associate must follow proper security procedures at the close of each day. The role also involves receiving and distributing faxes and mail daily.

  • Reviews each patient chart and schedule the day before clinic in order to anticipate the proper intake interview, missing documentation, required authorizations, copay and/or balance amounts and insurance eligibility.
  • Maintains a high level of confidentiality when servicing patients.
  • Follows proper security procedures at the close of each day to ensure facility safety.

Responsibilities

  • Schedule, reschedule, or cancel therapy patient appointments for all 6 therapy office locations.
  • Send all new evaluation appointment information over to the pre-certification department.
  • Monitor visit limits and expiration dates for all therapy patients and request additional visits when needed.
  • Create claims for any OTC items the patient receives or for No-show fees.
  • Promptly and accurately transfer and direct all incoming calls.
  • Assist adjusters or outside entities with questions or information needed.
  • Accurately enter all patient demographics and insurance information into the system.
  • Perform eligibility and authorization verifications for scheduled patients at certain locations.
  • Maintain the cleanliness and tidiness of the front desk area and patient waiting rooms.
  • Screen every visitor and respond accordingly.
  • Adhere to all company procedures and policies for receiving deliveries.
  • Verify patient’s demographic and insurance information and make appropriate changes in the EMR system.
  • Review each patient chart and schedule the day before clinic to anticipate needs.
  • Prepare school and work excuses as needed.
  • Accept x-rays and medical records for prospective new patients and distribute to the proper staff member.
  • Check out patients and schedule returning patient appointments according to provider and practice protocols.

  • Receive and distribute faxes daily.
