About The Position

The OSS/Parts Room Buyer is responsible for sourcing, evaluating, and purchasing parts, supplies, and outside repair services to support operational needs. This role manages inventory levels, processes purchase orders, coordinates with vendors and internal teams, and ensures timely and cost-effective procurement of materials and repair services. The position also maintains accurate records within purchasing and work order systems while supporting inventory control and fulfillment activities.

Responsibilities

  • Prepare and issue purchase orders for parts, supplies, and outside repair services.
  • Identify, evaluate, and negotiate with vendors, including OEM and third-party service providers, to secure quality products and services at competitive pricing.
  • Monitor inventory levels and determine material requirements; order stock and non-stock items as needed.
  • Receive, inspect, and record incoming inventory; stock items in an organized and accessible manner.
  • Process and fulfill parts requisitions for internal customers.
  • Review requisitions and purchase orders for accuracy, specifications, and proper documentation.
  • Track and manage order status; respond to internal and external inquiries regarding orders, changes, or cancellations.
  • Expedite deliveries and resolve issues related to shortages, delays, or discrepancies.
  • Coordinate outside repair services, including obtaining quotes, tracking turnaround times, and ensuring accurate system entry for pricing and delivery.
  • Collaborate with Customer Service, Sales, Engineering, and Technicians to support operational priorities and resolve issues.
  • Verify inventory accuracy through cycle counts and reconciliation; investigate and resolve discrepancies.
  • Ensure all transactions (inventory and one-time buys) are properly classified and recorded.
  • Maintain accurate data within purchasing, inventory, and work order systems.
  • Support changing priorities and delivery requirements to meet business needs.
  • Perform additional duties as assigned by management.
