About The Position

The OA Clerk plays an essential role in supporting the Outreach and Admissions department by performing a wide range of clerical, administrative, and customer service duties. This position is ideal for a detail-oriented professional who thrives in a fast-paced environment and enjoys supporting students, staff, and community partners. You will serve as the central point of contact for prospective Job Corps students, assist with scheduling and communications, and provide high-quality administrative support to ensure efficient departmental operations. This is an on-site role requiring strong organizational skills, professionalism, and the ability to model a positive and supportive center culture.

Requirements

  • High school diploma or GED
  • Two years of related secretarial or administrative experience
  • Ability to model, mentor, and support Career Success Standards (CSS)
  • Strong organizational skills and attention to detail
  • Effective verbal and written communication skills
  • Ability to type 50 words per minute
  • Computer proficiency
  • Strong customer service orientation
  • Sound judgment and ability to maintain confidentiality
  • Valid driver’s license and appropriate insurance
  • Eligibility to work in the U.S. (I-9 verification required)
  • Ability to pass a pre-employment drug test and background check

Responsibilities

  • Manage the department’s monthly calendar, activities, and appointments.
  • Handle routine matters independently and ensure non-routine issues are directed appropriately.
  • Prepare reports; maintain files, records, and statistical data.
  • Maintain a structured filing system for program manuals, directives, DESI procedures, and other documents.
  • Perform data entry, dictation, and typing of correspondence and other materials.
  • Maintain an adequate inventory of office supplies.
  • Manage incoming and outgoing mail; maintain correspondence control logs; track action-item deadlines.
  • Make travel arrangements and provide general administrative support as needed.
  • Serve as the initial point of contact for prospective Job Corps students.
  • Provide information packets to prospects, parents, and community members.
  • Schedule prospects for information sessions.
  • Act as a liaison between contract management and internal staff.
  • Promote and model positive center culture standards.
  • Ensure adherence to all management, corporate, and government directives.
  • Maintain accountability of staff and assist with safety inspections.
  • Follow safety practices and report issues promptly.
  • Protect confidentiality and maintain compliance with all policies and procedures.
