About The Position

The Front Office Coordinator will work to ensure front office responsibilities are met for The Center for Behavioral Health Services at Woods (CBHW)/Woods Community Services (WCS). This position will provide administrative support including but not limited to completing initial referral, scheduling as well as overseeing the medical records for CBHW/WCS. This includes accepting, tracking and coordinating the release of medical records.

Requirements

  • Must be proficient in the use of Microsoft Excel and Word.
  • Familiarity with Electronic Health Records.
  • Must be able to work 2 pm to 7 pm Monday-Thursday and future possibility for Saturday morning shift
  • Experience working with patient scheduling particularly doing this work in the mental health setting.
  • Knowledge of medical and behavioral health terminology.
  • Excellent customer service and public relations skills with patients and their families and dealing with behavior and mental health difficulties both on the phone and in person is required.
  • Ability to work with insurance and managed care companies.
  • Ability to communicate with individuals at all levels, including providers, patients and staff
  • Strong organization skills with the ability to multi task and prioritize in a fast paced environment.

Nice To Haves

  • Bachelor’s degree in mental health or a related human services discipline with 3 or more years’ experience with insurance verification, managed and commercial health plan procedures.
  • On a case-by-case basis will consider high school diploma with specific knowledge of required skills.
  • Must be able to demonstrate strong oral and written communication competency, analytical and problem solving skills, and have the ability to work and communicate effectively with other departments, 3rd party payer representatives and family members/guardians of clients.
  • Able to work independently, sit, stand and lift up 50 pounds.

Responsibilities

  • Processes client requests for program treatment via telephone call or face to face by obtaining demographic information, reason for referral, insurance information and scheduling of initial assessment.
  • Utilizes customer service skills to provide patient/family orientation, education and intake functions as well as coordination of additional referrals.
  • Maintains up to date referral list on continual basis and triages if applicable.
  • Meets with/coordinate with new patient to complete referral paperwork before their first appointment.
  • Acts as a liaison with billing and finance to assure that appropriate funding/insurance information is in place for patients in services.
  • Provides administrative support including front desk coverage, scanning, copying, filing, maintaining databases, meeting minutes, scanning ID cards, lab results, consults or other paperwork brought in by the patient.
  • Works as a part of clinical team in contributing to the patients’ needs across the programs and department.
  • Manages tracking system of all request for records, verify consents are appropriately completed and distribute record requests as needed.
  • Assists management with preparation for various audits.
  • Maintains patient confidentiality and adhere to all HIPPA requirements.
  • All other duties as assigned.
