About The Position

The Outpatient Business Office Manager will be responsible for the overall operation of the facility, working collaboratively with the Director of Clinical Services and Performance to ensure access to care and that policies and procedures are followed. This role ensures proper authorization has been received, is accurate, and on file for all payor sources. The position involves staff and schedule supervision for outpatient clerks, collaboration with the Director of Clinical Services and Performance regarding client access and counselor schedules, and reporting to the Chief Operating Officer on compliance with policies and procedures in the Outpatient office. The manager oversees all charts, ensuring they are current with correct paperwork and scanned into the system, and checks charges against progress notes in the electronic health record for accuracy. They track authorizations and keep counselors and front office staff informed via a weekly report. Responsibilities also include assisting in month-end processing of the accounts receivable system, preparing statements, and General Ledger entries. Additionally, the role oversees monthly fire drills, conducts routine safety inspections of the Twin Falls facility, and performs secretarial, receptionist, and clerical duties. This includes answering incoming phone calls, taking messages, directing calls appropriately, interviewing people coming into the office, and directing them to the appropriate person. The manager is accountable for the Petty Cash Fund, ensuring it remains balanced and applying for reimbursement when needed. They are responsible for assuring proper authorization has been received, is accurate, and on file for any clients admitted. The role involves keeping track of all payments collected and is responsible for deposits. A key duty is performing and documenting drug screenings, including urinalysis (UA), in accordance with program standards. Requirements

  • High school diploma or equivalent required
  • Excellent oral and written communication skills, with the ability to interact effectively with others
  • Proficient in Microsoft Outlook and general computer systems, with the ability to learn and maintain Electronic Medical Records (EMR)
  • Ability to operate a variety of office equipment and machinery, including a computer, printer, photocopier, facsimile machine, and telephone
  • Ability to perform the physical requirements of the position including walking, standing, bending, stooping, pushing, pulling, lifting, typing, and repetitive motions
  • If in recovery from a Substance Use Disorder, must have a minimum of five (5) years of sobriety from substances of use
  • Must pass pre-hire requirements including a criminal background check, urinalysis (UA), and TB test
  • Must obtain CPR certification within ninety (90) days of hire
