About The Position

The OSD Specialist supports the investigation, documentation, and resolution of overage, shortage, and damage (OSD) cases across the transportation network. This hourly position emphasizes accuracy, timeliness, and effective communication with internal stakeholders and external carriers. The role plays a critical part in protecting company financial interests, supporting customer service performance, and identifying root causes that contribute to OSD incidents.

Requirements

  • One to three years of experience in transportation, logistics, warehousing, customer service, or administrative support roles.
  • Strong attention to detail with the ability to accurately verify and document information.
  • Effective written and verbal communication skills.
  • Basic analytical and problem-solving abilities.
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
  • Proficiency with basic computer systems and data entry applications.
  • Applicants must be authorized to work in the United States for any employer.

Nice To Haves

  • Experience working with freight discrepancies, OSD processes, or transportation management systems (TMS).
  • Working knowledge of Microsoft Excel.
  • Familiarity with LTL, TL, or distribution environments.
  • Exposure to food, temperature-controlled, or high-volume distribution operations.

Responsibilities

  • Receive, review, and process overage, shortage, and damage cases in accordance with established procedures.
  • Collect, review, and organize required documentation, including bills of lading (BOLs), proof of delivery (PODs), photographs, invoices, and delivery records, to support OSD investigations.
  • Assist in investigating OSD issues by validating shipment details, quantities, and product condition at both pickup and delivery.
  • Accurately enter and maintain OSD case data within internal systems and track cases through resolution.
  • Support timely resolution of OSD cases in alignment with internal service expectations and customer requirements.
  • Communicate professionally with internal teams—including transportation, warehousing, and customer service—regarding OSD details and required follow-up actions.
  • Coordinate with carriers to obtain missing documentation, confirm shipment details, and support resolution efforts.
  • Escalate complex, high-impact, or time-sensitive OSD issues to the OSD Supervisor as appropriate.
  • Conduct follow-up and escalation with internal stakeholders to facilitate timely resolution and help mitigate detention and layover expenses.
  • Provide consistent status updates to carriers to ensure clear communication and alignment throughout the resolution process.
  • Adhere to established standard operating procedures, customer requirements, and carrier agreements when managing OSD activity.
  • Ensure all OSD case activity is documented accurately and completely to support audit and compliance requirements.
  • Meet established deadlines, service-level commitments, and quality standards.
  • Identify recurring issues, trends, and process gaps related to OSD activity and share insights with leadership.
  • Support prevention efforts by providing accurate data and observations that contribute to reducing future OSD incidents.
