The Orthodontic Records Technician enhances patient care by greeting and welcoming new patients into the practice. This role requires staying informed and updated on HIPAA and OSHA regulations. The technician will interact positively with patients, maintain a pleasant and caring attitude, and contribute to a people-oriented team environment. Responsibilities include maintaining a neat and orderly office and lab area, fabricating removable appliances, assisting in the evaluation of fit and esthetics, delivering retainers, performing retainer check appointments, and taking impressions. The technician will also pour impressions for retainers and study models, familiarize themselves with clinical assistant duties to substitute when necessary, seat and set up patients, take intra-oral scans, and assist with sterilization and restocking of instruments. Knowledge of instrument and supply identification is important for restocking. The role requires availability on non-doctor days for patient care and records management, including taking patient photographs, panoramic and cephalometric x-rays, uploading them to patient charts, and printing them for diagnostic purposes. Handling patient information in compliance with legal requirements, including HIPAA, is crucial. Communication with doctors, treatment coordinators, front desk, and office manager is essential. This includes shipping and receiving outside lab cases, reviewing the next week's deliveries, and checking the schedule daily. Maintaining open communication with the office manager, outside labs, and other agencies is also required. Inventory and maintenance management are key, including monitoring records materials, instruments, and equipment, understanding equipment maintenance and servicing needs, maintaining equipment in record/lab areas, performing overall maintenance of dental equipment, and maintaining the x-ray processor. Arranging for repairs and developing/maintaining daily and weekly maintenance schedules, along with providing monthly maintenance reports to management, are part of the role. Daily tasks include folding Cintas towels, preparing milk baths, ultrasonic solutions, impression trays, turning on LISA/Statim machines, electronics, preparing debond projects, processing instruments and impression trays, completing checklists, checking the schedule for appliance deliveries, and ensuring retainers are made prior to appointments. The technician will also assist the marketing team in internal and external marketing initiatives, staff a minimum of two marketing events per quarter, and represent the company in the community. Active participation in team meetings and adherence to team principles are expected. Other tasks as assigned by management and doctors will be performed.
