About The Position

This is a 12-month contract position for an Organizational Effectiveness Specialist at Fasken, a premier law firm. The role is described as the "engine room" of business and people processes, working closely with the Workforce and Organization Design Specialist to ensure accurate people data, support regions, and optimize systems (UKG) to reflect the firm's evolving structure. It is ideal for a detail-oriented professional skilled in HR data, payroll coordination, and system administration. The position requires three days in the office per week, making it a hybrid role. Requirements

  • Minimum of 3 years of experience in an HR Administration, HR Operations, Payroll, or HRIS role.
  • Advanced proficiency in Microsoft Excel (V-Lookups, Pivot Tables).
  • High attention to detail with complex data sets.
  • Proficiency in both English and French is highly preferred.
  • Bachelor’s degree in human resources, Business Administration, or a related field.

Nice To Haves

  • Experience within a Law Firm or Professional Services environment is an asset.
  • Hands-on experience with UKG (Ultimate Kronos Group) or a similar HRIS is a strong asset.

Responsibilities

  • Partner with the Workforce and Organization Design Specialist to maintain organizational charts and position mapping.
  • Support the drafting and categorization of job descriptions for firm-wide evaluation.
  • Serve as the functional lead for regional HRIS requests.
  • Execute job title additions, reporting line changes, and organizational structure updates within the UKG ecosystem.
  • Act as the primary bridge between regional HR and Payroll teams to troubleshoot system issues.
  • Conduct regular audits to ensure employee data consistency and alignment with payroll outputs.
  • Support the lifecycle of HR frameworks (Recruitment, Performance, Succession) by ensuring all tools and documentation comply with internal policies and legal standards.
  • Assist in the development and UAT (User Acceptance Testing) of HR data collection forms and new system modules (UKG/WFM) to ensure all inputs are accurate and meet organizational requirements.
  • Manage official translations (English/French) for job titles, position descriptions, and HR frameworks to ensure seamless national alignment.
  • Provide dedicated administrative support for special projects, including data cleansing, milestone tracking, and cross-functional project updates.
