About The Position

The Order Entry Specialist acts as a key liaison between external customers and the production team, ensuring that all repair and overhaul work orders are processed accurately and efficiently from start to finish. This role focuses on providing clear product and service information, maintaining strong customer relationships, and fulfilling customer requirements to ensure a high level of satisfaction.

Requirements

  • High school diploma or equivalent education.
  • At least 1 year of customer service experience, which may include retail, co-op, or corporate environments.
  • Proficiency with Microsoft Office, including Outlook and basic Excel skills.
  • Strong verbal and written communication skills, with the ability to communicate effectively with clients and internal teams.
  • Customer service mindset with the ability to manage inquiries, resolve issues, and maintain positive relationships.
  • Time management and organizational skills, with the ability to handle multiple tasks and deadlines.
  • Experience with order entry, order processing, or order fulfillment in a fast-paced environment.
  • Comfort handling inbound calls and routing them appropriately.

Nice To Haves

  • Experience or interest in the aerospace or aircraft industry is a plus.
  • Mechanical interest or aptitude related to components and repair processes.
  • Familiarity with purchase orders and related documentation.
  • Experience using the broader Microsoft Suite beyond Outlook and Excel.
  • Attention to detail and accuracy when entering data and preparing documentation.
  • Ability to work collaboratively in a team-oriented environment and support cross-functional departments.

Responsibilities

  • Serve as the primary point of contact for customers regarding repair orders, work scope, shipments, discrepancies, and other order-related inquiries.
  • Respond to customer inquiries promptly and efficiently through phone and email, ensuring clear and professional communication at all times.
  • Assist in answering incoming calls and transfer them to the appropriate team members as required.
  • Prepare and provide customer quotes in accordance with communication and documentation requirements.
  • Monitor, receive, process, and upload customer approvals, and promptly advise stores and production teams of quote approvals.
  • Enter, create, assemble, and distribute work order packages, updating them as required throughout the repair and overhaul process.
  • Release parts on work orders in alignment with customer requirements and internal procedures.
  • Retrieve and organize original customer repair orders, original tire certificates, and related documentation, and ensure work orders are properly released.
  • Produce, review, and complete daily and/or weekly work-in-progress (WIP) and status update reports to keep stakeholders informed.
  • Create and issue accurate invoices for completed work orders in a timely manner.
  • Maintain organized filing systems for work orders, approvals, invoices, and related documentation.
  • Confirm that customer accounts are in good standing and/or that pre-payment has been arranged before releasing aircraft components for shipment.
  • Prepare and arrange paperwork packages for the shipping department to support outgoing and incoming shipments.
  • Consolidate multiple work orders onto packing slips as needed based on shipping destinations for daily shipments and pick-ups.
  • Coordinate with the shipping department daily to schedule and track shipments to and from customers.
  • Adapt daily tasks based on customer requirements and production needs, supporting a smooth and efficient workflow across departments.
