About The Position

The OR Scheduling Analyst at Norwalk Hospital, part of Northwell Health, is responsible for cross-functional activities including scheduling and auditing Operating Room procedures. This role provides administrative support to Perioperative Managers and the Director, and serves as backup for the Anesthesia Scheduler, Pain Management, and OR Unit Secretary. Key responsibilities involve assessing room availability, equipment/supply conflicts, block booking arrangements, and optimizing case efficiency according to block scheduling policies. The analyst will coordinate and communicate schedule modifications and updates to relevant personnel and departments, and assist management with data-based projects and administrative functions.

Requirements

  • Associates degree or an equivalent of three (3) years experience required.
  • Excellent computer skills.

Responsibilities

  • Schedules surgical cases efficiently and accurately according to Surgery Scheduling Program guidelines.
  • Collaborates with surgeon's office staff to create feasible operating room schedules and fill time gaps between cases.
  • Reviews tentative schedules 24 hours prior to procedures to identify factors affecting case duration or set-up and communicates findings to clinical leaders.
  • Accurately enters MRN's, PA staff, and Anesthesia staff assignments into the schedule.
  • Coordinates with Admitting, charge nurses, SPD, Purchasing, Anesthesiologists, Surgeons, and PAs for accurate schedule updates.
  • Maximizes room and resource utilization efficiently.
  • Prepares and distributes the final surgery schedule to appropriate departments.
  • Answers communication devices promptly and courteously.
  • Communicates schedule modifications and updates effectively and in a timely manner to charge nurses, admitting, SPD, Purchasing, physicians' offices, and OR administration.
  • Communicates trends, patterns, innovative ideas, and computer system issues to OR management.
  • Demonstrates effective communication skills with internal and external customers.
  • Accurately transcribes OR scheduling procedures from Consent, Orders & Other affirmations prior to distribution.
  • Communicates and helps resolve scheduling conflicts and issues with PAT, OR Staff, Surgeon's Offices & Anesthesia.
  • Assists in auditing OR Nursing e-Charting to support Quality, Regs, Billing & Supplies Usage.
  • Provides backup support and assists with projects for the Director & Managers, including correspondence, U/S functions, Pain Management functions, and Anesthesia Floater Schedule.
  • Maintains a good working atmosphere with co-workers and hospital staff.
  • Demonstrates a willingness to learn new procedures.
  • Executes other assigned responsibilities in a positive manner.
  • Handles correspondence, orders, and maintains office supplies and materials.
  • Performs other duties as assigned.
  • Fulfills all compliance responsibilities related to the position.
