About The Position

The OPS Project Analyst supports the office’s IT project oversight team by providing analytical, coordination, reporting, and operational support for enterprise-level technology project oversight, monitoring, and training activities. The analyst works closely with project managers and internal program teams to reinforce consistency, transparency, and adherence to enterprise best practices aligned with Florida Statute and FL[DS] governance standards.

Requirements

  • Ability to translate complex information into clear, actionable insights for technical and non-technical audiences.
  • Strong organizational and time-management skills with attention to detail.
  • Ability to build and maintain effective working relationships across internal teams and external partners.
  • Ability to operate with accountability and ownership while supporting PM-led initiatives.
  • Skill in the use of MS Word, MS Excel, MS PowerPoint, MS Access, Project, and MS Visio (or similar tools).
  • Demonstrated learning agility and adaptability in a dynamic, enterprise environment.
  • High school diploma or equivalent.
  • Ability to work in an office environment and report to the assigned work location as required.

Responsibilities

  • Assist Project Managers with oversight of state Technology projects by collecting, validating, and analyzing project data related to scope, schedule, budget, risks, issues, and dependencies.
  • Maintain project artifacts, trackers, dashboards, and reporting tools to support timely and accurate oversight and executive reporting.
  • Support variance analysis and trend identification across projects, escalating risks or concerns to Project Managers for awareness and action.
  • Track action items, decisions, and follow-ups from oversight reviews, governance meetings, and customer engagements.
  • Coordinate with project teams and vendors to obtain updates, documentation, and clarifications needed to support PM-led oversight activities.
  • Support governance processes such as project intake, stage gate reviews, compliance checks, and statutory reporting requirements.
  • Assist in developing, maintaining, and improving standardized templates, guidance, and documentation used by Project Managers and project teams.
  • Monitor adherence to established project management and oversight standards, flagging gaps or inconsistencies.
  • Contribute to continuous improvement efforts by capturing lessons learned, feedback, and operational metrics.
  • Support the development, coordination, and maintenance of enterprise training materials related to technology project management, governance, and best practices.
  • Assist with logistics and preparation for training sessions, workshops, and communities of practice.
  • Help curate and maintain centralized repositories for templates, standards, and reference materials.
  • Analyze training participation and feedback to support improvements and inform PM-led recommendations.
  • Prepare clear, concise briefing materials, summaries, and report drafts for the project team’s review.
  • Support meeting preparation and follow-up, including agenda development, documentation, meeting notes, and action tracking under the supervision of the project lead and supervisor.
  • Collaborate closely with Project Managers and program teams to support customer-centric service delivery while operating in an advisory and support capacity.
  • Participate in internal team meetings and cross-functional initiatives in support of FL[DS] mission objectives.
  • Perform other duties as assigned.
