About The Position

This position provides administrative and logistical support to the Director's Office Staff. The role involves prioritizing and preparing various types of correspondence, memorandums, and reports, ranging from simple letters to those involving legal and technical matters. The analyst will coordinate with Bureaus to ensure timely completion and distribution of monthly and annual reports on section functions and activities. Responsibilities also include maintaining databases, spreadsheets, and records, as well as initiating, formatting, and proofreading internal and external correspondence. Additionally, the position requires maintaining appointment calendars, utilizing multi-line telephone systems, and proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint).

Requirements

  • High school diploma or equivalent is required
  • Three (3) years of secretarial or office clerical work experience to include the use of Microsoft Office software applications such as Word, Excel, Outlook, PowerPoint.
  • Knowledge of the principles and techniques of effective communication
  • Knowledge of the methods of data collection
  • Knowledge of office procedures and practices
  • Knowledge of basic arithmetic
  • Knowledge of basic filing practices
  • Knowledge of the techniques for handling telephone calls in a courteous and efficient manner.
  • Ability to understand and apply applicable rules, regulations, policies and procedures
  • Ability to type letters, memoranda and other standard business forms in correct format.
  • Ability to organize files and other records.
  • Ability to use correct spelling, punctuation and grammar.
  • Ability to deal with the public in a tactful and courteous manner
  • Ability to perform basic arithmetical calculations
  • Ability to work independently
  • Ability to establish and maintain an effective working relationship with others
  • Ability to operate general office equipment
  • Skilled in typing
  • Skilled in the use of Microsoft Office; Word, Excel, Outlook, PowerPoint

Responsibilities

  • Assists the Director’s Office Staff by providing administrative and logistical administrative support.
  • Prioritizes and prepares general correspondence, memorandums and reports, varying from simple letters to those dealing with legal and technical matters.
  • Coordinates with Bureau’s to ensure monthly and annual reports of section functions and activities are completed and appropriately distributed when due.
  • Maintain databases, spreadsheets and records.
  • Initiate, Format and/or proofread internal and external correspondence for dissemination.
  • Maintains appointment calendars, multi-line telephone experience, and MS Office applications (Word, Excel, Outlook, PowerPoint)
