About The Position

The FDACS Office of Agricultural Water Policy (OAWP) collaborates with agricultural producers, industry groups, the Florida Department of Environmental Protection, the university system, and Florida’s water management districts to develop and implement Agricultural Best Management Practices (BMPs) that improve water quality and conserve water. BMPs are practical, cost-effective actions that reduce fertilizers, animal waste, and other pollutants entering Florida’s water resources. The FDACS Office of Agricultural Water Policy performs a variety of critical roles that include the following: develop and assist with the implementation of Agricultural BMPs; conduct agricultural water quality and water supply policy and planning; administer a cost-share program for the implementation of BMPs; administer and coordinate the Agricultural Regional Projects Program; partner with other entities in BMP research and demonstrations; provide mobile irrigation lab services; and offer data and technical assistance to producers, stakeholders, and state agencies. We seek a highly motivated OPS Administrative Assistant II to provide administrative and clerical support to the Agricultural Regional Projects within OAWP. In addition to core administrative duties, this role plays a key part in project management for regional water-quality, water-quantity, and ecosystem restoration projects, coordinating timelines, maintaining accurate documentation, and facilitating communication among vendors, partners, and internal teams.

Requirements

  • A high school diploma or its equivalent and six (6) years of administrative or clerical experience; or An equivalent combination of education and experience which equals six (6) years can substitute for the above requirements; or A bachelor's degree (4 years) from an accredited college or university and two (2) years of administrative experience; or A master's degree (6 years) from an accredited college or university can substitute for one year of the required experience.
  • Requires possession of a valid Class E driver license.
  • Ability to demonstrate initiative and curiosity by proactively seeking information, anticipating needs, and independently identifying opportunities to improve administrative processes and support OAWP’s mission.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to understand and apply applicable rules, regulations, policies and procedures relating to environmental programs.
  • Ability to collect, evaluate, analyze and interpret scientific or technical data.
  • Ability to prepare technical reports.
  • Ability to work independently.
  • Knowledge of basic analytical methods used to review, interpret, and organize information related to environmental or natural science programs.
  • Proficiency with MS Office Software (Word, Excel, PowerPoint) MS Publisher and Adobe Pro, Smartsheet.

  • Experience in part or whole, STMS, State of Florida accounting, State of Florida contracts and grants, Microsoft Excel proficiency and proficient organization skills.

Responsibilities

  • Assist in the coordination of project schedules, milestones, and meeting logistics; prepare agendas, take minutes, and follow up on action items.
  • Coordinate logistics for site visits, vendor meetings, and interagency workshops.
  • Track budgets, purchase orders, and expenditures; reconcile spending against contract terms and reporting requirements.
  • Support management of dashboards for tracking project status and budget performance (e.g., Smartsheet, SharePoint).
  • Answer incoming calls; provide information or route calls appropriately, ensuring positive customer service.
  • Assist with development of presentations (content, editing, formatting).
  • Assist with fleet management. Collect and maintain copies of vehicle logs, gas receipts, etc., from staff; review the vehicle logs for completeness prior to submittal; coordinate maintenance of vehicles, as needed.
  • Coordinate conference calls and schedule meetings.
  • Maintain organized hardcopy and electronic files.
  • Manage and coordinate special projects as assigned.
  • Maintain a thorough working knowledge of OAWP’s mission, core functions, programs, and workflows in order to effectively support daily operations and respond accurately to internal and external inquiries.
  • Perform other duties as assigned by the Director, Assistant Director, or Regional Projects Coordinator.
